Description of Job Duties/Responsibilities:
This position requires office presence a minimum of 5 days per week and is only located in the location(s) posted. No relocation is offered.
Performs advanced administrative and operational support for the RIS I program and the AVP for Columbia Program Office (CPO) operations to ensure efficient day-to-day execution at both the program and facilities levels. The role requires a proactive, self-directed professional who thrives in a dynamic environment, demonstrates strong follow-through, and takes clear ownership of outcomes while handling sensitive matters with discretion.

- Confidential executive administrative support: Provide advanced, confidential administrative support for one or more program and executive-level leaders; handle sensitive information with discretion; interact professionally with senior internal and external contacts.
- Calendar, meeting, and travel management: Manage complex calendars; coordinate and schedule on-site and offsite meetings; arrange complex, multi-leg domestic and international travel, including documentation needs as required.
- Communications and information flow: Serve as a central coordination point for executive communications; draft, review, and edit correspondence, presentations, briefing documents, talking points, and reports; ensure timely, accurate information flow aligned with organizational messaging and priorities.
- Cross-functional collaboration and stakeholder engagement: Partner with RIS I program leaders to manage daily business rhythms; use sound judgment and business insight to anticipate needs, support decision-making, and help leaders cascade information to teams.
- Direct contract support to mission-centric federal government customers: Provide day-to-day administrative and operational support aligned to contract deliverables; coordinate customer-facing engagements, site visits, and mission activities; ensure timely responses, accurate documentation, and professional execution in support of mission outcomes.
- Leadership team operations: Coordinate leadership meetings; prepare agendas and briefing materials; track action items and follow up on deliverables to drive accountability; maintain visibility into key initiatives and identify opportunities to improve coordination and team effectiveness.
- Workflow optimization and process improvement: Assess and improve administrative workflows to increase efficiency and reduce friction; streamline and automate routine tasks where appropriate; leverage digital tools (including generative AI) to enhance productivity while applying strong judgment and review.
- Event planning and executive engagements: Plan and execute executive events, leadership offsites, customer engagements, and special events; manage logistics such as venues, vendors, travel, materials, and on-site support; ensure events reflect executive and organizational standards of professionalism.

Required Qualifications:
- 6+ years of Administrative Assistant experience.
- 2+ years supporting senior executives (VP level and above) as an Executive Administrative Assistant.
- Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools; demonstrated ability to produce executive-ready materials.
- Demonstrated experience scheduling complex, multi-leg domestic and international travel, including visa/passport processing as needed.
- Experience with SAP or equivalent ERP tools for expense reports and basic financial/administrative transactions.
- Exceptional written and verbal communication skills with the ability to work effectively with executives and internal/external stakeholders (on-site and remote).
- Demonstrated experience providing direct administrative support in a federal government contract environment, including customer-facing coordination and responsiveness to mission priorities.
- Demonstrated experience using generative AI tools to draft, summarize, plan, and streamline workflows, with strong judgment and appropriate human review.
- Proven ability to manage confidential information with discretion and professionalism.
- Proficiency with common business systems (e.g., work order management, room scheduling, and other business software as required).
- Strong critical-thinking, prioritization, and problem-solving skills; proactive and solutions-oriented approach.
