The Administrative Coordinator provides high-level administrative and operational support to senior leadership, ensuring the smooth and professional functioning of executive activities within the department. This role requires a high degree of discretion, initiative, and attention to detail, along with the ability to manage competing priorities in a fast-paced environment.

Must be able to obtain a TS/SCI U.S. security clearance. If selected, you must meet the requirements for access to classified information and will be subject to a government security clearance investigation that includes criminal and credit history checks, as well as verification of U.S. citizenship, birth, education, employment, and military history.

Key Responsibilities:

· Executive Office Management: Oversee daily administrative operations for the executive office, including complex calendar management, travel coordination, meeting preparation, and expense processing.

· Strategic Communication & Liaison: Serve as a key point of contact on behalf of executive leadership, facilitating communication with internal teams, university stakeholders, and external partners with professionalism and discretion.

· Meeting & Event Coordination: Plan and execute high-level meetings, retreats, and events, including agenda development, material preparation, logistics coordination, and follow-up actions.

· Document & Information Management: Draft, edit, and manage confidential correspondence, reports, presentations, and briefing materials; maintain organized and accessible records and files.

· Project & Initiative Support: Provide administrative leadership and coordination for strategic projects and initiatives, ensuring deadlines are met and deliverables are aligned with executive priorities.

· Policy, Compliance & Confidentiality: Ensure adherence to institutional policies and protocols; handle sensitive information with the utmost confidentiality and integrity.

· Professional Service & Problem Solving: Anticipate needs and proactively address issues on behalf of executive leadership; serve as a resource for internal and external stakeholders with a commitment to high-quality service and efficiency.

Preferences:
• Clearance: Currently possess, or be eligible to obtain, a TS/SCI security clearance.
• Knowledge of policies and procedures, and federal, state, and other applicable higher education–related laws, rules, and regulations.
• Skill in oral, written, and interpersonal communication.
• Skill in using Microsoft Office and Google Suite.
• Skill in communicating with internal and external customers.
• Ability to work on deadlines with strong attention to detail.
• Knowledge of standard operating procedures (SOPs) development, implementation, and maintenance in compliance with applicable policies and regulations.
• Ability to work independently on complex projects and demonstrate competency, diplomacy, and a positive attitude in all interactions.
• Ability to adapt to a growing and changing staff and office environment, and to analyze, create, and optimize processes and procedures when necessary.

Physical Demands:
• Ability to remain in a stationary position for extended periods of time while working at a computer.
• Must be able to move about the office to access files, equipment, and attend meetings.
• Ability to operate a computer and other office productivity machinery.
• Must be able to lift and carry up to 10 pounds occasionally.

Education: Bachelor’s degree from an accredited college or university.

Experience: One (1) year of professional secretarial, clerical, coordinator, or administrative experience.

Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.

Knowledge of clerical and administrative procedures and systems such as filing and record-keeping.
