Job Description
SharePoint Knowledge & Records Manager
LOCATION: Mark Center (Alexandria, Virginia) — 100% On-Site
COMPANY: RMantra Solutions
SECURITY CLEARANCE: Active DoD Secret Clearance
POSITION SUMMARY
RMantra Solutions is hiring a SharePoint Knowledge and Records Manager to support our enterprise program on-site at the Mark Center in Alexandria, VA.
We are seeking a strategic, highly organized professional who can establish and govern a robust knowledge management ecosystem independent of specific software tooling. The core focus of this role is understanding what data assets and documents exist within the enclave that drive executive-level decision-making. You will explicitly audit document accessibility, evaluate baseline content currency, design role-based permissions layouts, and isolate systemic organizational inefficiencies that can be corrected via proactive knowledge sharing. This position is highly visible and responsible for building data governance architectures, automated tracking pipelines, and records compliance structures from the ground up.
PRIMARY RESPONSIBILITIES
* Knowledge Strategy & Policy Design: Develop and document comprehensive Training and Knowledge Transfer requirements, policies, and operational procedures in strict coordination with Government leadership utilizing Certified Knowledge Manager (CKM) methodologies.
* SharePoint & Teams Administration: Serve as the primary hands-on platform administrator for the collaborative ecosystem. Create, maintain, and audit SharePoint document libraries, Microsoft Teams structures, customized metadata schemas (publication dates, author tags, keyword taxonomies), and structured lists to ensure data is accurate, secure, and easily retrievable.
* Process Automation & AI Integration: Design and implement automated workflows, process enhancements, and utilize Artificial Intelligence (AI) tools within day-to-day operations to streamline information gathering, track high-priority projects, and manage enterprise deliverables.
* Records Governance & Lifecycle Compliance: Enforce statutory and organizational compliance by managing the complete lifecycle of physical and electronic records. Oversee file retention schedules, govern data dispositions, and implement standardized naming conventions, file directories, and document control structures. (Note: Specialized defense records management training/certification will be provided upon onboarding).
* Problem & Known-Error Repository Management: Build and sustain a centralized problem management knowledge base containing defects, root causes, known errors, workarounds, and historical resolution data. Ensure unrestricted read access for authorized system personnel and coordinate with third-party service providers to ingest multi-agency IT service insights.
* End-User Training & Portal Delivery: Develop end-user training materials, release briefs, and knowledge management guides in support of new software or process rollouts. Support and sustain end-user portal access to service requests and active incident tracking report frameworks.
* Analytics, Metrics & Dashboard Reporting: Develop and provide executive-level operational reports, trend analysis, and dashboards (daily, weekly, monthly) detailing the status of operational activities, system production issues, and key performance metrics.
* SLA and Incident Monitoring: Identify and recommend approved workarounds for unresolved problems, log them systematically within the repository, and notify relevant stakeholders. Develop and deliver service level monitoring, reporting procedures, and proactive improvement plans to ensure absolute SLA compliance.
BASIC QUALIFICATIONS
* Experience: 5+ years of direct, hands-on experience delivering organizational mission impact through knowledge management concepts, frameworks, and tools.
* Platform Mastery: Proven experience operating as a SharePoint Administrator alongside hands-on Microsoft Teams management, including configuring complex document libraries, metadata taxonomies, and permissions.
* Workflows & Automation: Demonstrated familiarity with building workflows, implementing automated processes, and leveraging AI tools to streamline project tracking and delivery.
* Core Certifications: Must possess an active CompTIA Security+ certification and a Certified Knowledge Manager (CKM) credential.
* Technical Baseline: Solid conceptual understanding of fundamental networking and operating systems technologies.
* Clearance & Security Mandate: Must possess an active DoD Secret security clearance.
