Job Description

SABG is seeking an Executive Support staff member to support the office of the Assistant Secretary of the Air Force for Space Acquisition and Integration (SAF/SQ) in Arlington, VA.

JOB TITLE: Executive Support

CLEARANCE REQUIRED: TS/SCI

LOCATION:Arlington, VA

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Perform administrative tasks including maintaining records, schedules, and correspondence.
• Preview staff packages and documentation to ensure compliance with standards set forth in HQ Operating Instruction 33-3, the Tongue and Quill, and other related staff guides.
• Communicate the Principals' direction to staff officers in coordination with government leadership, as required.
• Monitor progress on staff action items, track progress against suspense deadlines, prepare periodic reports on action status and keep the principals aware of late, pending, new actions.
• Manage records generated during the execution of the principal's projects and programs in accordance with statute and regulations, as well as military directives and instructions.
• Make recommendations and prepare briefings, point papers, and other materials based on the principal's direction.
• Working familiarity with typical HQ staff packages and documentation to include Electronic Staff Summary Sheets (eSSS), "buckslips", memoranda, and official letter correspondence.
• Proficiency with using Microsoft Office and other standard computer applications.
• Experience working successfully with senior executives at multiple organizational levels.
• Experience fostering stable and productive working relationships that communicate expectations and promote cooperation.
• Experience communicating effectively and concisely using a variety of styles and techniques appropriate to the audience.
• Ability to work collaboratively with personnel at all levels of the organization.
• Exemplary writing and editing skills with strict attention to detail.
• Ability to adapt to rapidly adjust to changing work environments while maintaining high levels of performance and support.

SUPERVISION: This position has no supervisory responsibilities.

MINIMUM QUALIFICATIONS:

Required experience and qualifications include but are not limited to:

• Active Top-Secret clearance with SCI eligibility
• Bachelor's Degree and 3-7 years of relevant work experience serving in a headquarters (HQ) staff element.
• Working familiarity with typical HQ staff packages.

• Working familiarity with standard HQ task and correspondence coordination tools to include Enterprise Task Management System (ETMS-2), and Correspondence and Task Management System (CATMS).
• Proficiency with using Microsoft Office and other standard computer applications.
• Experience working successfully with senior executives at multiple organizational levels.
• Experience fostering stable and productive working relationships that communicate expectations and promote cooperation.
• Experience communicating effectively and concisely using a variety of styles and techniques appropriate to the audience.
• Ability to work collaboratively with personnel at all levels of the organization.
• Exemplary writing and editing skills with strict attention to detail.
• Ability to adapt to rapidly adjust to changing work environments while maintaining high levels of performance and support.

COMPUTER SKILLS:
  • Skilled in operating a personal computer and standard office equipment
  • Must have proficiency in a variety of computer software applications in word processing, spreadsheets, database, (MS Office: Word, Excel, Outlook, PowerPoint)

LANGUAGE SKILLS: Ability to read, analyze, and interpret governmental regulations. Ability to write reports, business correspondence, and/or procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS: Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to question activities and issues in all functional areas and make sound business decisions based on that data.
