Job Description

AGL is looking for a Personnel Assistant II to work in Fort Campbell, KY. The Personnel Assistant II provides administrative and technical support to the Human Resources team at a U.S. Army contractor site. This role supports day-to-day HR operations, including personnel record management, onboarding, timekeeping, benefits administration, and compliance with contract, company, and U.S. Army requirements. The Personnel Assistant II ensures timely and accurate processing of HR documentation while maintaining confidentiality and adherence to DoD and contractor personnel policies.

Responsibilities

This position serves as a clerical expert in independently processing the most complicated types of personnel actions, e.g., temporary employment, rehires, and dismissals. In this position, one may perform tasks beyond routine clerical such as: pre-employment drug screening and new hire orientation, responding to routine questions on policy and procedures, and/or provide reports on employee turnover or time and attendance. This assistant may be asked to evaluate and consolidate information from various sources under short deadlines, such as internal or external survey information, reporting on company employment statistics (retention, equal opportunity reporting, etc.). The Personnel Assistant II may provide guidance to lower level Personnel Assistants. This level requires extensive knowledge of various office software packages. Guidance is provided as needed. Completed written work receives close technical review from higher-level personnel office employees. Work may be checked occasionally.

Personnel Records & Documentation
  • Maintain accurate and up-to-date employee personnel files in accordance with company policy, Army contract requirements, and regulatory standards.
  • Assist in preparing HR forms, reports, and personnel action requests (PARs).
  • Support tracking of employee assignments, rotations, leave, and contract-mandated requirements.

Onboarding & Offboarding
  • Assist in processing new hire documentation, background checks, and in-processing requirements.
  • Coordinate with site security, IT, and supervisors to ensure smooth onboarding.
  • Support out-processing and final clearance of departing employees, including property return and exit documentation.

Timekeeping & Attendance
  • Maintain accurate time and attendance records in compliance with Defense Contract Audit Agency (DCAA) requirements.
  • Process leaves requests, overtime authorizations, and shift adjustments.
  • Support supervisors and employees in resolving timekeeping discrepancies.

Benefits & HR Support
  • Provide employees with information on company policies, benefits, and HR procedures.
  • Assist HR Manager with enrollment, updates, and tracking of employee benefits programs.
  • Respond to routine employee inquiries and escalate complex issues to HR management.

Compliance & Reporting
  • Ensure HR documentation complies with U.S. Army contract requirements, FAR/DFARS labor clauses, and Equal Employment Opportunity (EEO) guidelines.
  • Support audits, inspections, and government reporting requirements.
  • Assist in maintaining personnel accountability records for Army contract reporting.

General Administrative Duties
  • Prepare correspondence, reports, and presentations for HR management.
  • Schedule meetings, coordinate training sessions, and assist with HR communications.
  • Provide support to site leadership for workforce-related tasks as required.

Physical Requirements & Work Environment
  • Must be able to lift up to 50 lbs. and perform routine standing, walking, bending, and reaching tasks in warehouse and field environments. Must also meet all physical requirements necessary to perform assigned duties, including working in extreme heat or cold, high, or low humidity, blowing sand and dust, confined spaces, heights, and other inclement weather conditions. This position involves working both indoors and outdoors, periodic overtime, and exposure to heat, dust, cold, and adverse weather conditions.

Qualifications

  • High school diploma or equivalent is preferred; however, equivalent relevant work experience may be substituted.
  • Associate's or Bachelor's in Human Resources, Business Administration, or related field preferred.
  • 2-4 years of HR, administrative, or personnel support experience (military contractor or Army site preferred).
  • Familiarity with DoD or Army HR processes highly desirable.
  • HR administrative practices, personnel recordkeeping, and compliance requirements.
  • Basic understanding of labor regulations (FLSA, EEO, FMLA, and applicable FAR/DFARS clauses).
  • Experience with HRIS or timekeeping systems (Deltek, Kronos, Costpoint, or similar) preferred.
  • Strong organizational and data entry skills with attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to maintain confidentiality of sensitive personnel information.
  • Strong communication and customer service skills for supporting employees and leadership.
  • Must have a REAL ID.
  • Basic proficiency in the English language (reading and writing).
  • Must receive a favorable background check and drug testing results.
  • Must have a valid driver's license with proof of vehicle insurance.
  • Must be able to obtain and maintain a Common Access Card (CAC).
  • Must be able to obtain Tier1/ NACI (Public trust) background eligibility.
  • Employees may be required to perform other duties as assigned.
  • Must be able to travel within the United States as required. This position may require up to 25% travel.
