Administrative Assistant
Ocean Bay LLC, a subsidiary of Three Saints Bay and a Federal Government Contractor industry leader, has an opening for a highly motivated Administrative Staff Assistant located in Arlington, Virginia. The successful candidate will perform a wide range of administrative, office and professional support activities.
Position Responsibilities:
- Gather and organize information about the problem to be solved or the procedure to be improved.
- Analyze data, develop solutions or alternative practices, recommend new systems, procedures, processes, or organizational changes, make recommendations to management through presentations or written reports and confer with managers to ensure that the changes are working.
- Review data and enter data to ensure all databases are kept up to date.
- Open, distribute and track correspondence, documents, and project timelines.
- Coordinate outgoing mail and packages, ensure legal documents, mail and packages are monitored, tracked and recorded once delivered.
- Answer, screen, and transfer inbound phone calls.
- Maintain office supply inventories, order supplies, assist with equipment requests and assignments.
- Maintain hard copy and electronic filing system for all administrative matters, time and attendance records, trip/travel records, and scan documents into digital case files.
- Perform data entry and reconcile inconsistencies in databases.
- Prepare and modify documents including correspondence, reports, drafts, memos, cables, and emails; correct discrepancies found in reports.
- Learn government databases and resources to create spreadsheets, papers and reports.
- Learn and maintain current standard operating procedures, existing and emerging policies, standards, or guidance documents.
- Performs general administrative support activities, facilities/space management, customer support services, resource distribution, acquisition support, and personnel support.
- Perform, as directed assigned fiscal or purchase functions and maintain spreadsheet of procurements and property.
- Perform routine audits of databases and files; maintain database records by ensuring information is current and accurate.
- Participate in the planning, implementation and logistics of office meetings.
- Performs other related and/or administrative duties as assigned or requested by client.
Position Requirements:
- Minimum of an associate's degree or equivalent.
- Minimum of 3-4 years of relevant experience.
- Position requires strong analytical, interpersonal, oral and written communication skills, and the ability to solve complex problems and work in a team environment.
Skills:
- Experience with Microsoft Teams and SharePoint management and computer software programs.
- Must be proficient in the Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Possess knowledge of applying analytic methodologies and principles to address program needs.

- Must be a US Citizen with the ability to obtain a US Government security clearance.
