Position Summary
Waypoint's client is seeking a highly organized, proactive, and detail-oriented Administrator to provide executive and front office operational support for a mission-critical organization supporting the National Reconnaissance Office (NRO). This role serves as a key member of the front office, ensuring the seamless execution of day-to-day administrative and operational functions that enable senior leadership to remain focused on strategic priorities.
The ideal candidate is a polished professional with exceptional organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced, high-visibility environment. Success in this role requires discretion, professionalism, strong communication skills, and the ability to anticipate leadership needs before they arise.
Key Responsibilities
- Provide front office and administrative support to senior leadership and corporate staff.
- Manage complex executive calendars, including scheduling, prioritization, and conflict resolution.
- Coordinate internal and external meetings, conference rooms, agendas, meeting materials, and attendee logistics.
- Assist with planning and executing leadership meetings, off-site events, strategic planning sessions, and team-building activities.
- Coordinate office logistics, including workspace assignments, desk moves, phone moves, and general office support activities.
- Support budget planning and tracking by maintaining financial records, monitoring expenditures, and assisting leadership with budget-related reporting.
- Prepare correspondence, presentations, meeting minutes, reports, and other executive-level documentation.
- Track action items and ensure timely completion of leadership tasks and deliverables.
- Coordinate with internal departments including facilities, IT, security, finance, and human resources to resolve operational issues.
- Maintain sensitive information with the highest level of confidentiality and professionalism.
- Identify opportunities to improve administrative processes and office efficiency.
Required Qualifications
- Active Top Secret/SCI security clearance w/current CI poly.
- Bachelor's degree preferred; equivalent professional experience will be considered.
- 8+ years of experience providing executive, front office, administrative, or program support within a Department of Defense, Intelligence Community, or Federal Government environment.
- Demonstrated experience managing executive calendars and coordinating meetings for senior leadership.
- Experience supporting office operations and coordinating administrative activities.
- Experience assisting with budget tracking, financial reporting, or resource management.
- Excellent verbal and written communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple tasks and meet competing deadlines.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
Desired Qualifications
- Prior experience supporting the National Reconnaissance Office (NRO), Intelligence Community, or other classified government organizations.
- Experience coordinating executive off-sites, conferences, or strategic planning events.
- Familiarity with government travel coordination, office management, and facilities processes.
- Experience supporting senior executives, program managers, or corporate leadership in high-visibility environments.
- Demonstrated ability to work independently while collaborating effectively across multiple organizations.
