The Opportunity:
The Operations Coordinator optimizes the design team's operational efficiency by managing the requirement intake process, analyzing and maintaining project workflows. They leverage data analysis to track performance, inform strategic decisions, and ensure seamless project execution across all products and services. A successful Coordinator fosters a collaborative environment, optimizes team performance, and facilitates communication, enabling team members to focus on creative excellence and contribute to the achievement of organizational goals.
Responsibilities:
Project & Resource Management
Collaborate with leadership for end-to-end production lifecycle, from initial project intake to final deliverable, ensuring high-quality, on-time, and on-budget delivery.
Partner with internal and external stakeholders to define project scope, objectives, and deliverables, creating accurate and comprehensive project plans with negotiated deadlines. Proactively manage team capacity and workload distribution, resolving scheduling conflicts and identifying resourcing gaps before they impact deadlines. Maintain and optimize project tracking tools to provide real-time visibility into project status and milestones. Manage project hours - tracking forecasting vs. actuals.
Workflow & Process Optimization
Serve as a central point of contact between the creative team and stakeholders, facilitating clear expectations and smooth feedback loops.
Collaborate closely with the Graphic Design Lead to align process improvements with creative strategy and troubleshoot production issues.
Assist in the onboarding and offboarding process for team members.

There are a host of factors that can influence final salary including, but not limited to, geographic location, Federal Government contract labor categories and contract wage rates, relevant prior work experience, specific skills and competencies, education, and certifications. Required Qualifications:
- US Citizen with Active TS/SCI with Poly.
- Bachelor's Degree or higher in Business Operations, Project Management, or a related field.
- 5+ years of relevant experience in operations or project management within a creative services or media production environment.
- 2+ years of experience specifically managing resource intake, capacity planning, and project lifecycles.
- 2+ years of relevant customer service experience, preferably within the government or a secure environment.
- Solid understanding of media production workflows and experience managing creative projects cross-functionally.
- Ability to analyze performance metrics to inform decision-making and working knowledge of time-tracking tools and cost estimation.
- Demonstrated experience working within government contracting or secure environments.
Desired:
- 6+ years of relevant experience in operations management within the creative industry.
- 4+ years of project management experience specifically within government contracting.
- 4+ years of customer service experience managing diverse or high-level stakeholder relationships.
