The successful candidate will have a solid background in legal operations, program management, and administrative support, to support and enhance the execution of key operational and legal functions. The Senior Administrative Assistant will perform a wide range of administrative, office and professional support activities.

Administrative Assistant

The successful candidate will have a solid background in legal operations, program management, and administrative support, to support and enhance the execution of key operational and legal functions. The Senior Administrative Assistant will perform a wide range of administrative, office and professional support activities.
Position Responsibilities:
- Independently conduct comprehensive research and analysis in support of rule development, budget planning, acquisition planning, resource allocation, and workforce planning.
- Conducts in-depth and complex analysis of a wide variety of sources, studies and/or audits as established/planned in the program requirements.
- Conducts trend analysis and reporting providing well-reasoned recommendations to management.
- Participate in establishing and defining program plan requirements and performance measures.
- Coordinates interdepartmental development of program plans and interfaces with other sections and offices.
- Evaluates, monitors, and reports performance against plans to ensure guidelines meet appropriate procedures and policies.
- Reports, analyzes, and interprets financial and operating data.
- Final Case Review, Routing, and File Maintenance.
- Prepare drafts, review final drafts for formatting or grammatical errors and for signature.
- Route and track all documents sent through the executive offices, monitor and follow up on all delays, route documents to the federal register for publication.
- Prepare signed documents for electronic and physical service.
- Open, prepare, and close paper and electronic files.
- Maintain excel sheet docket tracking cases (with summaries), assignments, and deadlines.
- Prepare quarterly and annual reports for office.
- Calculate and track office efficiency
- Project future caseloads and monitor case number trends.
- Assist with Human Resource (HR) related matters to include but not limited to:
- Prepare and revise position descriptions to ensure all are up to date.
- Liaise with internal components regarding agency table of organization.
- Assist with any permissible HR responsibilities
- Assist with maintaining HR related records and files.
- Assist with permissible budget related responsibilities.
- Assist supervisor with preparing materials and agenda for all-hands meetings.
- Assist supervisor with preparing briefing materials and training materials for new executives and other employees.
- Maintain sections library of documents and publications.
- Monitor appellate activity involving the section.
- Performs other duties as assigned.
- Prepare and revise position descriptions to ensure all are up to date.
Position Requirements:
- Minimum of a bachelor's degree or equivalent.
- Must have 5 years of relevant experience.
- Position requires strong analytical, interpersonal, oral and written communication skills, and the ability to solve complex problems and work in a team environment.
- Preferred, legal knowledge or experience in a legal department.
Skills:
- Experience with Microsoft Teams and SharePoint management and computer software programs.
- Must be proficient in the Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Possess knowledge of applying analytic methodologies and principles to address program needs.
- Experience utilizing open-source databases to conduct checks, verify information, and support research activities and program decisions.

- Must be a US Citizen with the ability to obtain a US Government security clearance.
