Pay Range :
There are a host of factors that can influence final salary including, but not limited to, geographic location, Federal Government contract labor categories and contract wage rates, relevant prior work experience, specific skills and competencies, education, and certifications. Responsibilities:
Executive Assistant
- Calendar Management: Manage the executive's calendar, scheduling meetings, appointments, and events.
- Project Support: Assist with special projects, including research, data compilation, and presentation preparation.
- Document Management: Prepare, edit, and distribute a variety of correspondence, reports, and documents.
- Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
Administrative Support :
- Assist with meeting logistics, including scheduling, agenda preparation, and minutes taking in Teams and Outlook.
- Coordinate follow-up actions and track their completion.
- Coordinate responses to data calls, gathering and compiling information from various sources.
- Coordinate inventory actions, ensuring proper tracking and management of assets.
- Documentation and Standardization:
- Document workflows, Standard Operating Procedures (SOPs), and project updates using OneNote and Word.
- Maintain a centralized repository of documentation for easy access and reference.
Travel Program Management :
- Travel Coordination: Oversee the travel management and approval process, including submission and approval of all programs domestic and international travel
- Expense Management: In coordination with Program Finance Analyst & DPM Business Administration, plan, monitor and manage travel expenses, ensuring compliance with company policies and budget constraints.
- Logistics: Handle all logistical aspects of travel, including visa requirements, travel insurance, and necessary documentation.
- Emergency Support: Assist with providing support and assistance in case of travel emergencies or changes.
- Travel Policy: Stay updated on travel policies and procedures, ensuring the program travel arrangements are in compliance.
Task Management :
- Project Coordination and Task Management:
- Coordinate and track project tasks, deliverables, and timelines using Git Lab, Microsoft Planner and/or other MS Tools.
- Monitor project progress and assist with identification of potential roadblocks, escalating issues as needed.
- Serve as the point of contact for cross-team coordination and communication, ensuring all stakeholders are informed and aligned.
Qualifications:
Required:
- Education: Bachelor's degree in business administration, Communications, or a related field or equivalent relevant experience.
- Clearance: Active TS/SCI clearance with polygraph
- Experience: Experience in an executive assistant role, preferably within a corporate environment.
Skills:
- Exceptional organizational and time-management skills.
- Strong communication (verbal and written) and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle confidential information with discretion.
- Excellent problem-solving skills and ability to work under pressure.
Desired:
- Experience working with C-level executives.
- Familiarity with travel management systems and tools.
- Experience supporting programs within the applicable community
- Basic understanding and use of AI prompts
