Goldbelt Glacier supports programs administered through the BIA including social services, natural resources management, economic development, law enforcement and detention services, administration of tribal courts, implementation of land and water claim settlements, housing improvement, disaster relief, replacement and repair of schools, repair and maintenance of roads and bridges, and the repair of structural deficiencies on high hazard dams.
Summary:
The Office of Director for Bureau of Indian Affairs (DBIA) is seeking an administrative assistant to the Director to provide a wide variety of program, administrative, scheduling, and secretarial functions, in matters not specifically provided by other key DBIA staff. Key support will include receiving visitors, managing incoming calls and DBIA mail, timekeeping, and working closely with and assisting other office staff and leadership on current projects.

The pay range for this position is $45,000 - $56,000 annually.

- Demonstrate tact, urgency, and care in receiving visitors and answering calls, answering or directing inquiries to the appropriate staff

- Receives, opens, date stamps, screens, sorts, and logs all incoming mail. Determines which can be handled generally or should be expedited or given special handling. Maintains electronic mail log and records, and any deadlines associated with each, assuring timely responses and compliance with internal policies, as well as applicable laws and/or regulations
- Assists timekeeper for DBIA in QuickTime System and supporting all related functions including, but not limited to, timecard completion, staff reporting, and tracking and monitoring of leave
Qualifications
Necessary Skills and Knowledge:
- In-depth knowledge of general office administration to include filing, typing, answering the phone, as well as being able to communicate at an effective level for both phone and face-to-face communications at all levels of leadership
- Proficient in Microsoft Office software including Excel, Access, Word, PowerPoint, and Outlook mail; database entry skills
- Expert knowledge of grammar, spelling, punctuation, technical terminology of the assigned office, knowledge of headlines and formatting letters and usual terminology of personnel programs administered by the office
- Demonstrated analytical skill in collecting, compiling and organizing information, reviewing reports, documents, records, data and other material for verification of completeness, accuracy, consistency, compliance and appropriateness to the circumstances
- Knowledge of the information flow system within the assigned office and its relation to other offices to maintain records, logs, and flow of information manually and electronically to ensure effectiveness/efficiency of information and records throughout the Office
- Ability to write and communicate orally clearly and concisely. Ability to establish and maintain effective working relationships with various levels of staff for all organizations served and the public
- Knowledge of digital filing protocols for correspondence, reports, and other documents both technical and non-technical
Minimum Qualifications:
- High School Diploma and minimum of 2 years of relevant experience
- Be able to lift at least 30 lbs
- Required to successfully pass a background investigation
