We are seeking a highly organized and process-driven IT Project Manager to oversee the delivery of our Enterprise API (eAPI) projects. In this role, you will be the administrative backbone of the team, responsible for maintaining schedules, managing customer expectations, and ensuring transparent reporting. Deep technical knowledge of APIs is not required; however, you must be capable of coordinating cross-functional technical teams and effectively communicating progress to non-technical business stakeholders.

Responsibilities
- Schedule & Timeline Management:
- Master Scheduling: Develop and maintain detailed project schedules (using MS Project, Smartsheet, or Jira), ensuring all tasks, milestones, and dependencies are accurately tracked and up-to-date.
- Sprint Coordination: Facilitate scheduling for sprint ceremonies (stand-ups, planning, retrospectives) and ensure the team adheres to the agreed-upon cadence.
- Resource Planning: Coordinate with technical leads to ensure resources are allocated correctly in the project plan and identify potential scheduling conflicts early.
- Reporting & Documentation:
- Status Reporting: Generate and distribute weekly executive status reports, highlighting progress, budget burn rates, and upcoming milestones.
- Governance: Ensure all project artifacts (charters, risk logs, decision logs) are maintained in accordance with PMO standards.
- Meeting Management: Organize and facilitate project meetings, capture detailed meeting minutes, and rigorously follow up on action items to ensure closure.
- Customer & Stakeholder Management:
- Primary Liaison: Act as the main point of contact for business stakeholders and internal customers, fielding requests and providing updates on project status.
- Expectation Management: Manage scope creep by clearly communicating timeline impacts to customers when requirements change.
- Communication Bridge: Translate updates from the technical team into clear, business-friendly language for stakeholders.
- Risk & Issue Tracking:
- Risk Log: Maintain an active Risk and Issue Register. Your focus is on tracking these items and ensuring owners are assigned, rather than solving the technical issues yourself.
- Blocker Removal: Proactively identify administrative or logistical blockers (e.g., access rights, licensing, meeting availability) that are slowing down the technical team and work to resolve them.
Qualifications
- 4-6+ years of experience as an IT Project Manager.
- Expert-level proficiency in scheduling and reporting tools (e.g., Microsoft Project, Jira, Confluence, Excel, PowerPoint).
- Demonstrated ability to impose order on complex projects through rigorous documentation and follow-up.
- Exceptional written and verbal communication skills; comfortable presenting status reports to leadership.
- Education & Certifications:
- Bachelor's Degree in Technology, Management, or a related field.
- PMP (Project Management Professional) certification is strongly preferred.
Desired Qualifications:
- General familiarity with the Software Development Life Cycle (SDLC).
- Previous experience working in an environment involving integration, middleware, or data teams (exposure to the vocabulary is helpful, even if deep technical understanding is not).
- Core Competencies:
- Strong servant-leadership mindset.
- Excellent communication and conflict-resolution skills.
- Ability to translate complex technical concepts into business language.
- Detail-oriented with a strategic mindset for process improvement.
- Must be a US citizen and/or green card holder and be able to obtain Public Trust clearance.
- Prior FDA experience preferred.
