Tuvli, an Akima company, is hiring for an Executive Assistant to support our DoS client located in Washington, DC.The Executive Assistant Level 4 provides high-level administrative and executive support to senior leadership within a fast-paced, publicly visible Department of State (DOS) organization. This position requires independent judgment, advanced organizational skills, and the ability to manage complex and confidential matters with discretion. The Executive Assistant Level 4 ensures the seamless operation of the Front Office and supports the mission and objectives of the organization.

Responsibilities

  • Manage daily Front Office operations, ensuring a professional environment and strict adherence to Senior Executive Service (SES) protocols.
  • Plan, coordinate, and schedule meetings; receive and host visitors; and interact with the public using a customer-focused, detail-oriented, and adaptive approach.
  • Independently transmit information, gather and assemble data, prepare and review presentations, and communicate effectively within and outside the directorate.
  • Proactively manage and deconflict executive calendars and event schedules, ensuring accuracy, prioritization, and optimal allocation of leadership time.
  • Integrate and coordinate support activities to ensure leadership is fully prepared for meetings and engagements, processing incoming requests and correspondence efficiently.
  • Draft, review, and edit notes, internal memoranda, and official correspondence; track and maintain visibility on taskers and open actions based on senior staff guidance.
  • Answer and manage telephonic communications, including message-taking and call referrals to appropriate personnel or offices.
  • Greet and escort high-level officials and guests, ensuring a positive and professional experience for all visitors.
  • Maintain the Front Office's appearance and readiness for senior officials; address facility concerns and manage office supply inventories.
  • Support office security administration, including facilitating security clearances and visit requests for personnel and visitors.
  • Maintain both electronic and paper records of office documents, including letters, memoranda, reports, and briefings, as directed.
  • Assist with official travel and logistical arrangements for government personnel, utilizing the E2 system and ensuring compliance with Joint Travel Regulations (JTR).
  • Process and route incoming correspondence, including email and facsimile, to the appropriate individuals for timely response and action.

Qualifications

  • Minimum of five (5) years of senior executive-level management and administrative experience in organizations of similar size and scope.
  • Active Secret clearance.
