Position Summary
ANSER is seeking a Senior Executive Assistant to provide high-level, mission-critical administrative and strategic support to senior leaders within the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)) in a fast-paced, complex environment. You will manage daily office operations, complex calendars, travel coordination, public interactions, and correspondence while ensuring executive-level standards of professionalism, accuracy, and confidentiality.

Position Summary
ANSER is seeking a Senior Executive Assistant to provide high-level, mission-critical administrative and strategic support to senior leaders within the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)) in a fast-paced, complex environment. You will manage daily office operations, complex calendars, travel coordination, public interactions, and correspondence while ensuring executive-level standards of professionalism, accuracy, and confidentiality.
Day-to-Day Responsibilities
- Provide strategic, integrated support to ensure R&E senior leaders are fully prepared for meetings, events, and tasker deadlines.
- Manage complex executive calendars; resolve conflicts; coordinate meetings across DoD, Congress, industry, and academia.
- Prepare daily and weekly read-ahead materials and briefings for senior leaders.
- Plan, schedule, and coordinate logistics for meetings, including security, transportation, and visitor support.
- Serve as front office interface with the public; answer inquiries, greet visitors, and escort high-level officials.
- Draft internal memos, short notes, and formal correspondence; ensure quality and adherence to office standards.
- Track, triage, and monitor incoming communications, requests, and CATMS taskers.
- Maintain office files, records, and document archives consistent with WHS AI-15 and R&E SOPs.
- Process incoming mail and email; route correspondence and maintain office equipment and supplies.
- Support office security administration; process clearance and visit requests; order supplies; maintain a professional workspace.
- Coordinate U.S. and international travel, including itinerary development, DTS authorizations/vouchers, and logistics.
- Prepare trip books and travel materials; ensure timely submission and tracking of all travel vouchers.
- Facilitate country clearances, embassy coordination, protocol requirements, and in-country logistics for international travel.
- Maintain and update travel trackers for all domestic and international travel, including cost estimates and voucher status.
- Provide cross-trained backup coverage for all front office EA functions to ensure seamless operational support.
Required Qualifications
- Security Clearance: TS/SCI eligibility
- Bachelor's degree OR an additional four (4) years of specialized experience (military or industry executive assistant) in lieu of degree
- Ten (10) years of front office experience supporting executive-level leaders
- Demonstrated experience supporting senior leaders in complex, high-tempo environments requiring critical thinking, initiative, and judgment
- Experience applying analytic approaches to plan and implement strategic direction
- Proven administrative support experience with senior Government, DoD Flag/General Officers, or Private Sector executives
- Expertise in Microsoft Outlook, PowerPoint, Word, and Excel
- Experience managing calendars, correspondence, taskers, travel (including DTS), and public interaction for senior officials
- Experience maintaining files and records in accordance with government standards and processes
- Strong communication, customer service, and protocol knowledge for Senior Executive Service environments
- Experience managing sensitive information with discretion and maintain a professional office environment
- Ability to coordinate logistical support, including security, transportation, and event planning
- Demonstrated ability to work collaboratively with multiple EAs and cross-train to cover all mission-critical functions
