ASRC Federal is seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive administrative support to the Executive Staff and serve as a critical liaison for various operational and human resources functions. The ideal candidate is proactive, possesses strong financial acumen, and thrives in a fast-paced environment that requires meticulous attention to detail and strong time management skills.

Key Responsibilities
  • Perform a wide variety of administrative functions for the Executive Staff, including managing complex calendars and coordinating all travel arrangements.
  • Track and monitor project due dates for the Executive Staff, ensuring all timeframes are met.
  • Manage and track all items submitted to Headquarters/FLETC for Executive Staff review, approval, or handling.
  • Serve as the primary liaison between the SAC Office and all Academy branches.
  • Establish, organize, and maintain all Academy files and records, including managing an electronic filing system. This involves maintaining all incoming and outgoing correspondence with appropriate filing codes and purging files in accordance with established orders.
  • Proofread and edit letters, memos, correspondence, and handbooks for accuracy and consistency.
  • Process mailings and order office supplies for the Executive Staff.
  • Perform other administrative duties as required to support the Academy's operations.
  • Serve as the primary liaison for the SAC on HR and other administrative matters, maintaining a close working relationship with operating officials at Bureau Headquarters (HROD).
  • Coordinate leave, travel, time, and attendance records for the Academy within WebTA (Timekeeper function).
  • Process personnel actions within HRConnect, the Bureau's personnel/HR system.
  • Support HR management by drafting vacancy announcements for the SAC's review and interfacing with Field Management Staff and HROD to ensure personnel actions and information requests are handled without delay.
  • Work with Academy supervisors to ensure performance ratings are completed timely and by the appropriate personnel in accordance with established timeframes.
  • Maintain and file documents within personnel folders, keeping in-house copies for the SAC, ASAC, and branch chiefs.
  • Assist with financial functions, including understanding and applying the various types of accounting codes (program, project, and task codes) and the associated business rules.
  • Serve as a financial control point by reviewing, editing, and verifying supporting documentation attached to trainee and instructor travel authorizations and vouchers within the E2 system.
  • Manage financial commitments by issuing, tracking, entering, amending, and modifying obligations within UFMS, the Bureau's financial and procurement system (Funds Control Analyst function).
  • Review and compile credit card statements with receipts for the Executive Staff and submit them for approval.
  • Arrange and coordinate special meetings, conferences, workshops, tours, and special events.
  • Manage logistics for dignitary visits and graduation ceremonies.
Minimum Qualifications
  • Minimum of a High School Diploma or equivalent. A Bachelor's Degree is preferred.
  • A minimum of one (1) to two (2) years of related experience (i.e., office, clerical, administrative).
  • Demonstrated competency in basic budget and financial tracking skills is required.
  • Must be proficient in standard office software (e.g., Microsoft Office Suite).
  • Active Secret clearance preferred, or the ability to obtain and maintain a Secret clearance is required
Preferred Qualifications
  • Experience with federal financial, travel, or HR systems (e.g., WebTA, HRConnect, E2, UFMS, or similar government/corporate platforms).
  • Experience in a government or law enforcement support environment.
