Job Overview

The Publications and Forms Specialist I is responsible for the performance of administrative tasks requiring knowledge of military and civilian personnel procedures and information management to include electronic and manual publications and forms management, management of official records, and website management. This role is a part-time, on-site role at Maxwell Air Force Base in Montgomery, Alabama.

Responsibilities

Essential Functions and Duties:
  • Responsible for the development, design, processing and management of various publications and forms products.
  • Responsible for drafting publications and forms, reviewing draft publications and forms for compliance with prescribed style, format, and legal and statutory requirements.
  • Provide properly formatted approved draft publications and forms to higher headquarters for publishing or for posting on locally hosted sources.
  • Maintain publications, forms, record sets, and databases.
  • Produce official base bulletin and product indices and announcements, maintain address directories and office web pages.
  • Develop, coordinate, and schedule training and staff assistance visits.
  • Provides accurate and timely customer service: requests for information, status, availability, and acquisition of publications and forms.
  • Ensures the initiation, tracking, and annotation of publications and forms reviews.
  • Responsible for performing all assigned duties in compliance with policies, directives, and procedures as safely and efficiently as possible to maintain a safe work environment.
  • Preparing and processing correspondence, reports, and forms; operating office equipment (i.e., fax, photocopy, scanner, shredding machines).
  • Perform other duties as assigned in accordance with contractual, functional, and mission requirements.

Job Requirements

Mandatory:
  • Three (3) years' experience with Publications and Forms Management.
  • High School Diploma. Associates degree preferred.
  • General PC Skills, to include the ability to enter information via keyboard.
  • Ability to use computer, phone, printers, scanner, photocopier, shredder and fax machines.
  • Knowledge of Microsoft Office products.
  • Excellent written and verbal skills.
  • Must have the ability to effectively communicate with customers.
  • Able and willing to perform shift work in support of contract requirements.
  • Able to lift up to 30 lbs. unassisted.
  • Able to reside at a desk working for extended periods of time.
  • Valid driver's license.
  • Ability to obtain and maintain Secret Security Clearance.
  • U.S. Citizenship.
