The Opportunity:
The Operations Manager will provide project and program support to the Program Management Office (PMO), ensuring smooth day-to-day operations. This position requires adaptability, problem-solving skills, and the ability to work with minimal supervision in a high-paced dynamic environment. The ideal candidate should possess strong verbal and written communication skills and demonstrate initiative based on general guidance.
Responsibilities:
- Oversee the process for PMO meetings, emails, and visitor interactions, determining which require direct PMO attention and which can be efficiently delegated or managed independently.
- Manage, synchronize, and resolve conflicts within PMO calendars. Schedule meetings, prepare detailed agendas, and compile necessary materials.
- Prepare, review, and distribute reports, presentations, meeting minutes, and other essential documents for the PMO, as well as internal and external stakeholders.
- Coordinate domestic and international travel arrangements, prepare expense reports, and manage all travel logistics.
- Act as the primary point of contact for the PMO, through delegation, to facilitate technical and programmatic discussions and communication between the different functional departments within the organization and external stakeholders to meet cost, schedule, performance, and technical requirements in executing production.
- Manage programmatic and technical projects, manage and/or assist in PMO briefing package preparation and tracking budgets/financial reports to support Program Management Reviews (PMRs) with division and corporate leadership, and manage the tracking of sales/purchase orders for the PMO's production requirements.
- Collaborate with the finance lead to ensure accurate budget estimates are prepared and readily available for PMO meetings, discussion, and review.
- Manage program timelines, schedules, and deliverables by utilizing the proper tools and applications (e.g., Microsoft Office, SharePoint, etc.) to support efficiency in tracking and reporting, ensure that resources are adequately allocated by managing the hiring process for the PMO, and follow-up with Stakeholders and PMO for ensuring that deadlines are consistently met.
- Optimize and organize program-related documentation and meetings to enhance efficiency and clarity.
- Sensitive Document Handling: Safeguard highly confidential company information, PMO communications, and strategic documents with the utmost care and security.
Qualifications:
Required:
- 5+ years of experience in senior project/program support roles.
- BA/BS in related field is preferred. Alternatively, additional four years of direct experience may replace education requirement.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to quickly develop expertise in PMO-specific processes and protocols.
- Experience managing complex program schedules and deliverables.
- Ability to assess information from multiple sources and develop actionable recommendations.
