Overview

Goldbelt Professional Services specializes in providing expert resources for Public Health missions including scientific, technical, and administrative support from junior staff to high-level subject matter experts. Research and data driven, Goldbelt Professional Services' experts create solutions customized to the client's needs.

Summary:

The Program Analyst will provide executive-level support to CDC leaders and general administrative level support to CDC staff. Administrative duties will include, but are not limited to, complex calendar and meeting management, travel arrangements, time-keeping services, correspondence, documentation, and coordination.

This is a hybrid position that requires (3) days of in-person work at a CDC campus and periodic on-site support for multi-day meetings.

Responsibilities

Essential Job Functions:
  • Manage complex calendars of senior staff and team members by responding to invites and inquiries, noting dates, and times of important events, and scheduling and rescheduling meetings.
  • Assist with meeting management by preparing agendas, recording meetings, taking notes, disseminating meeting notes and following up on action items.
  • Arrange travel and accommodation; prepare travel authorizations and expense vouchers using HHS/CDC travel management system (CONCUR).
  • Maintain/update travel trackers and travel budgets; manage conference requests; and provide guidelines to staff on travel procedures
  • Provide occasional support for travel emergencies after hours or on weekends.
  • Provide time-keeping services using the TASNet system.
  • Ensure accurate tracking and reporting of hours, attendance, and adherence to agency policies.
  • Draft and send correspondence on non-technical, administrative matters on behalf of leaders.
  • Maintain up-to-date orientation and organizational materials.
  • Prepare briefing documents and edit slide presentations.
  • Perform purchasing activities using Credit Card Purchasing System (CCPS).
  • Provide backup coverage support for other program analysts.
  • Perform other assigned duties.

Qualifications

Necessary Skills and Knowledge:
  • Ability to handle confidential information with discretion.
  • Self-starter with ability to perform and lead work independently.
  • High attention to detail and accuracy in administrative tasks.
  • Ability to set up and effectively coordinate virtual and hybrid meetings.
  • Ability to use multiple communication methods (written/visual) to work with all levels of staff.
  • Ability to interact effectively with a variety of contacts/relationships, including senior-level managers.
  • Excellent organizational skills with the ability to coordinate multiple work streams, multi-task, and work well under tight deadlines.
  • Flexibility to provide after-hours support when needed.
  • Strong working knowledge of Microsoft 365 software (Word, Excel, PowerPoint and Outlook).
  • Strong critical thinking and analytical skills.

Minimum Qualifications:
  • Bachelors degree plus 5 years' experience or High school diploma plus 5-10 years' experience
  • Familiarity with timekeeping systems like TASNet and EASI.
  • Experience with travel management systems such as CONCUR.

Preferred Qualifications:
  • Prior experience working with the CDC is highly desired, as it helps understand the organization's culture and environment.
