This position serves as the primary Executive Administrator to the Director, NA-84 Office of Nuclear Incident Response. The incumbent provides comprehensive, high-level administrative and operational support, ensuring the efficient and effective functioning of the Director's office and the NA-84 organization. This role requires exceptional organizational skills, discretion, proactive problem-solving, and the ability to operate in a high-pressure, sensitive environment with national and international implications. The Executive Administrator will manage complex schedules, communications, and logistical arrangements for sensitive and highly classified activities, contributing directly to the readiness and response capabilities of Nuclear Emergency Support Team (NEST).

This role requires exceptional organizational skills, discretion, proactive problem-solving, and the ability to operate in a high-pressure, sensitive environment with national and international implications. The Executive Administrator will manage complex schedules, communications, and logistical arrangements for sensitive and highly classified activities, contributing directly to the readiness and response capabilities of Nuclear Emergency Support Team (NEST).
Responsibilities:
- Manage and maintain the Director's highly dynamic and complex calendar, prioritizing appointments, meetings, and obligations to optimize time and efficiency.
- Coordinate and schedule meetings for the Director with senior government officials, interagency partners, international representatives, and internal staff, often involving classified discussions.
- Prepare the Director for meetings, including compiling and organizing briefing materials, agendas, presentations, and necessary classified documents.
- Anticipate administrative needs and proactively address them, ensuring the Director is fully prepared for all engagements.
- Oversee the administrative operations of the Director's office, ensuring smooth workflow and adherence to all National Nuclear Security Administration (NNSA) and DOE policies.
- Serve as the primary point of contact for internal and external communications directed to the Director's office.
- Discreetly screen and filter incoming calls, emails, and correspondence, prioritizing critical information and routing non-essential items efficiently.
- Draft, review, and edit official correspondence, reports, presentations, and other documents on behalf of the Director, ensuring accuracy, clarity, and adherence to NNSA and DOE standards.
- Manage sensitive and classified information with the highest level of confidentiality and discretion.
- Maintain strict control over controlled unclassified information (CUI) and classified documents, ensuring proper handling, storage, and destruction in accordance with security protocols.
- Arrange complex domestic and international travel for the Director and accompanying staff, including securing classified transportation, accommodations, and itinerary management.
- Prepare and process travel authorizations, vouchers, and expense reports in compliance with federal regulations.
- Coordinate logistical support for NEST deployments, exercises, and training activities, often requiring rapid response and adaptability.
- Develop and maintain highly organized electronic and physical filing systems for administrative, classified, and sensitive documents, ensuring easy retrieval and compliance with records management policies.
- Track and monitor action items and deadlines, ensuring timely completion of tasks assigned to the Director or originating from the Director's office.
- Assist in the preparation and submission of program reports, budget documents, and strategic plans.
- Act as a liaison between the Director's office and other NNSA offices, DOE elements, other federal agencies, and international partners on administrative matters.
- Facilitate effective communication and coordination between the Director and NEST division heads and team leads.
Required Qualifications:
- DOE site access requires the qualified candidate be a U.S. citizen with an ACTIVE DOE Q or Department of Defense (DoD) Top-Secret security clearance and the ability to obtain DOE IN Sensitive Compartmented Information (SCI) access. The candidate's written consent to conduct a pre-employment background check and test for the absence of any illegal substances is required as a condition of employment and to maintain a security clearance.
- Demonstrated extensive administrative support experience at the executive level within a federal government agency, preferably within national security, defense, or intelligence communities.
- Proven ability to handle highly sensitive, classified, and proprietary information with utmost discretion and confidentiality.
- Exceptional organizational and time management skills with the ability to manage multiple priorities, meet tight deadlines, and adapt to rapidly changing situations.
- Superior written and verbal communication skills, including meticulous attention to detail in grammar, spelling, and punctuation.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with secure communication systems and document management platforms.
- Proactive problem-solver with a strong ability to anticipate needs and resolve issues independently.
- Work after-hours, extended shifts and on weekends when required during emergency responses and exercises.
- Ongoing reviews and tests for the absence of any illegal substances will be conducted as a requirement for ongoing access to DOE sites. The candidate's written consent to conduct such tests may be required as a condition of employment.
Desired or Preferred Qualifications:
- Experience supporting Senior Executive Service (SES) or equivalent level executives.
- Knowledge of Department of Energy (DOE) and National Nuclear Security Administration (NNSA) organizational structures, policies, and procedures.
- Familiarity with nuclear security, emergency response, or related national security missions.
- Experience in a 24/7 operational environment or supporting rapid response teams.
