Procurement Support Specialist
Under the supervision of the Sr. Purchasing Manager and the local Program Manager's Office, the Procurement Support specialist performs functions as a purchasing customer service assistant in support of a government prime contract. The Support Specialist interacts regularly with people in various positions in the Company and externally. They must maintain a good company image and supplier relations through daily business contacts.

Procurement Support Specialist
Under the supervision of the Sr. Purchasing Manager and the local Program Manager's Office, the Procurement Support specialist performs functions as a purchasing customer service assistant in support of a government prime contract. The Support Specialist interacts regularly with people in various positions in the Company and externally. They must maintain a good company image and supplier relations through daily business contacts.
PRIMARY RESPONSIBILITIES:
- Make small dollar purchases using the company purchase card. Reconcile purchases monthly using Concur.
- Track the status of commercial purchases. Respond expeditiously to requests for information regarding the status of these purchases.
- Expedite requests for quote (RFQ) responses and purchase order (PO) shipments.
- Contact vendors and transportation companies to follow up on orders and the status of overdue deliveries. Update all due dates in all required systems.
- Maintain effective communications with customers and take proactive measures to meet lead-time required for obtaining materials. Keep requestor apprised of any change in price or specifications, and of restrictions on materials that might affect purchases.
- Utilize Company automated maintenance and procurement systems (Costpoint, Maximo, AIMs) to assist customers in tracking orders, receipts and payments.
- Maintain a suspense file of POs, shipments, return of damaged goods, partial receipts, and shipping and receipt documents for each order until order is complete.
- Review and resolve shipping and payroll discrepancies; assist buyers, program managers and other team members.
- Perform data entry, run status reports, file and perform other general administrative duties as required
- Perform administrative duties and maintains assigned workplace, materials, and equipment in a safe, secure, and neat manner. Maintain records and files related to job responsibilities.

- Completing all mandated training requirements per government and management directives.
- Timely and cost effective performance of duties.
- Communicating effectively verbally and in writing with vendors, suppliers and co-workers.
- Ability to develop rapport and positive working relationships with all departments.
- Timely completion and accuracy of all departmental work.
- Dealing with a variety of people in a professional, courteous manner in diversified situations.
- Adherence to established company safety policies and ability to work in a safe manner.
- Compliance with company standard operating procedures and personnel policies.
REQUIREMENTS:
- Must be a US citizen or US national, and pass background checks.
- Ability to obtain and maintain a DoD security clearance at the Secret level
- High School Diploma and 0-2 years of experience
- 1 year of education may be substituted for 1 year of experience.
- Demonstrated ability to work in a team-based, service-oriented environment. Must possess excellent communication and interpersonal skills to interact tactfully and resourcefully with co-workers, vendors, and internal and external customer representatives.
- Strong problem-solving skills, attention to details and ability to proactively assist customers.
- Proficiency with Microsoft Office (Outlook, Word, and Excel)
- Managing corporate credit cards.
- Ability to be flexible while still maintaining high standards of professionalism to perform under deadlines and manage multiple priorities in a volatile and diverse environment.
- Must be detail oriented. Competent in identifying discrepancies and making corrections.
