OLH, Inc, a Federal Government Contractor industry leader, is seeking anAdministrative Assistant specialistto effectively and efficiently support DOE's Western Area Power Administration byprovidinggeneral administrative supportat its Phoenix, AZ, location.

Primary Responsibilities:
  • Assists in maintaining DSW telephone listing, and cubicle seating information.
  • Assists with conducting market research and provides input on prospective sources for office equipment and supplies.
  • Schedules conference rooms and meeting appointments. Assembles meeting materials and record proceedings. Maintains conference room calendar of scheduled meetings. Prior to meetings, ensures meeting space and lobby areas are set up. After meetings, ensures meeting space and lobby area are returned to pre-meeting state.
  • Provides phone coverage and switchboard operations.
  • Maintains office supplies. Prepares supply requests to replenish office supplies when required.
  • Assists with review of federal timesheets for compliance and accuracy. Inputs time and attendance from submitted timesheets into WAPA's payroll system, Automated Time Attendance and Production System (ATAAPS).
  • Manages ATAAPS. Establishes and updates time and attendance profiles, maintains access and permissions, ensures timely completion of certification each pay period, resolves discrepancies, assists personnel with timekeeping, and coordinates with WAPA Headquarters.
  • Prepares and processes a variety of documents, such as letters, memorandums, forms, and faxes. Documents shall comply with WAPA standards for correspondence and are accurate in spelling, grammar, punctuation, and formatting.
  • Provides miscellaneous data entry support. Data entry shall be completed in WAPA's Financial Information Management System (FIMS) and other programs.
  • Makes travel arrangements considering routes, cost containment, and availability. Enters arrangements in electronic travel system. Notifies personnel of travel arrangements. Travel arrangements shall comply with WAPA policy and Federal Travel Regulations.
  • Files and/or scans documents, correspondence, and forms. Updates and organizes files. Prepares files for archival storage. 3.1.1.12 Receives and escorts visitors in accordance with WAPA's Visitor Control Program and security policies.
  • Provides mail pickup from and delivery to local post office using a Government vehicle, if available, once daily Monday through Friday within the DSW region. Sends and receives mail from common carriers (e.g., FedEx or United Parcel Service).
  • Opens, date stamps, and distributes mail. Sensitive mail such as WAPA blue envelopes, bids, proposals, and legal documents shall not be opened. The Schedule Contractor shall comply with the Mailroom Security procedures as prescribed in WAPA Order 470.1H, Safeguards and Security Program.
  • Processes, labels, and sorts outgoing mail and distributes mail receipts and tracking information. Ensures all postal mail is appropriately metered. The Schedule Contractor shall ensure meter/scale is safeguarded, maintained, and additional postage is ordered as necessary. Maintains records of certified mailings and postal meter usage.
  • Completes all assigned administrative duties and responsibilities.
  • May perform Records Management and Purchasing duties as assigned.


Position Requirements:
  • US Citizen.
  • Government Background Clearance required.
  • Minimum of High School Diploma or equivalent.
  • Minimum of one-year experience as an Administrative Assistant.
  • Personal computer literate with knowledge of email, word processing and spreadsheets.
  • Experience with common office equipment, e.g. fax machines, copiers, projectors and PC printers.
