Job Description
Eccalon is seeking an Executive Administrative Assistant to provide executive-level administrative and operational support to senior leadership within the Office of the Under Secretary of Defense for Acquisition and Sustainment (OUSD A&S). Operating in a dynamic and mission-critical environment, this role ensures the seamless execution of daily executive functions and serves as a key facilitator in the coordination of high-level defense acquisition and sustainment activities. This position requires an Active Top Secret/SCI Security clearance.

Responsibilities
• Provide direct executive-level support to SES and General/Flag Officer leadership within OUSD A&S.
• Manage complex calendars, schedule meetings, coordinate senior-level engagements, and deconflict priorities.
• Prepare, proofread, and finalize high-visibility correspondence, memoranda, reports, and presentation materials.
• Monitor and track executive taskers, briefing deadlines, and responses to OSD-level inquiries using task management systems (e.g., CATMS).
• Coordinate classified and unclassified meetings, including room reservations, visitor access, and audio-visual needs.
• Manage executive travel logistics, including DTS travel authorizations, itineraries, and vouchers.
• Serve as a liaison between senior leadership and internal/external stakeholders across the DoD, interagency, and industry.
• Exercise discretion in handling sensitive and classified information in accordance with DoD regulations and security protocols.

Required Qualifications

• Clearance: Active TS/SCI
• Minimum of five (5) years of experience to include executive level support, personnel, scheduling, task management, planning, programming, and forecasting, correspondence, security, facilities with Department of Defense (preferably).
• Executive level support experience, experience within DoD and other federal agencies.
• Demonstrated success managing several direct reports and multiple functional areas across multiple locations.
• Must be highly proficient in using Microsoft Office Suite to include Word, Excel, and PowerPoint.
• Must have excellent analytical and problem-solving skills.
• Must have outstanding English writing skills and the ability to quickly deliver quality written products in constrained time periods.
• Must have strong active listening skills to assess customer needs and satisfaction.
• Must have experience in managing customer expectations and working directly with customers.
• Must have outstanding customer service abilities to initiative, judgement, creativity, flexibility, and confidence.
• Must have the ability to multi-task across multiple projects.
