Summary:

The Logistics Coordinator (LC) reports to the Procurement Manager. The incumbent: initiates procurement actions through FedBid and utilizes the State Department procurement system ARIBA, conducts day-to-day tracking of all procurement requests under existing contracts and is responsible for general logistical and administrative support to accomplish the primary mission of the Administrative and Logistics unit. The LC is also responsible for working in support of warehousing operations and personnel, training personnel in tracking operations and participating in the onsite management of inventory.

Responsibilities

Essential Job Functions:
  • Initiates procurement actions in the ARIBA system
  • Uses FedBid to identify vendors and follows the Federal and State Department Acquisition Regulations
  • Reviews quotes and proposed items to ensure quality and adherence to the procurement request
  • Monitors all equipment coming into the DS/ATA warehouse
  • Tracks equipment from initial entrance into ARIBA through shipment to OCONUS destination, ensuring projected training dates are met by timely delivery of all training course equipment
  • Monitors the "eWISE" warehouse inventory system; receives notifications and updates SharePoint accordingly sends notification of delivery to Training Delivery Coordinators (TDCs) and Program Managers (PMs) coordinates with warehouse personnel to maintain accountability of all materials and resolve all problems with shipments
  • Maintains SharePoint Equipment Tracking Board for each course of equipment procured
  • Develops and maintains completion reports for all requesting TDCs and PMs
  • Informs the budget account specialist of the completion of all orders in order to facilitate the payment of vendors
  • Resolves all discrepancies of equipment received within individual orders
  • Compiles descriptive and functional reports of varying subject matter for submission to Procurement Manager
  • Monitors vendor performance
  • Visits the warehouse contract Program Manager on a weekly basis to provide current information in support of the tracking of training equipment
  • Maintains vendor performance record to notate any issues with vendor equipment deliveries
  • Develops and maintains living catalog section of commonly used weapons, gear, and parts for ATA users
  • Advises Supply System Manager on the status of all equipment lines
  • Processes invoices and relays them to Vendor Claims

Qualifications

  • Ability to coordinate with vendors, carriers, and internal teams
  • Problem-solving and decision-making abilities
  • Data analysis and interpretation for logistics optimization

Minimum Qualifications:
  • Bachelor's degree or four years practical experience as a procurement and logistics specialist/coordinator with a government bureau or entity; experience with DS/ATA-type system preferred
  • Must be able to obtain/maintain a SECRET security clearance
  • Must have comprehensive knowledge of the Department's Integrated Logistics Management System (ILMS)
  • Must be able to execute and coordinate several projects simultaneously and efficiently

Preferred Qualifications:
  • Experience supporting Department of State logistics or procurement activities, with hands-on use of ILMS and Ariba and a solid understanding of agency-specific processes
  • Familiarity with warehouse coordination, including inventory tracking, shipment monitoring, and resolving delivery issues to keep timelines on track


Pay and Benefits

Annual salary for this role is $112,425.04.
