ARS is seeking an exceptional Executive Assistant to provide high-level administrative support to the Director and senior leadership team of a government innovation program. This role requires a strategic partner who can anticipate needs, manage complex calendars, and serve as a trusted liaison between leadership and internal/external stakeholders. The ideal candidate will demonstrate excellent judgment, discretion, and professionalism while handling sensitive information and coordinating critical leadership functions. Responsibilities include:
- Provide comprehensive executive support to the Director and senior leadership team
- Manage complex calendars, prioritize meeting requests, and coordinate with high-level stakeholders
- Prepare meeting materials, presentations, and briefings for leadership engagements
- Screen and prioritize communications, ensuring timely responses to urgent matters
- Organize, attend, and summarize meetings, capturing action items and follow-up tasks
- Coordinate travel arrangements and prepare detailed itineraries
- Draft correspondence, reports, and other documents requiring senior leadership signature
- Serve as a primary point of contact for internal and external stakeholders
- Maintain confidentiality and exercise discretion when handling sensitive information
- Prepare expense reports and manage administrative budget tracking
- Coordinate with other administrative staff to ensure alignment across the organization
- Train and supervise administrative support staff as required
- Plan and execute special projects and initiatives as directed by leadership
- Other duties as assigned
Qualifications/ Technical Experience Requirements:
- Must be a US citizen
- Bachelor's degree in Business Administration or related field (or equivalent experience)
- 5+ years of experience providing executive-level administrative support
- Exceptional organizational skills with ability to manage multiple competing priorities
- Strong written and verbal communication skills, with attention to detail and accuracy
- Proficiency with Microsoft Office Suite and collaboration tools
- Experience managing complex calendars and coordinating high-level meetings
- Demonstrated ability to exercise good judgment in sensitive situations
- Strong interpersonal skills and professional demeanor
- Ability to work independently with minimal supervision
- Experience preparing professional presentations and briefing materials
- Ability to obtain and maintain required security clearance
Desired Qualifications:
- Experience supporting government or defense leadership
- Knowledge of DoD or federal government administrative processes
- Background in innovation, technology, or research organizations
- Experience coordinating with senior military or civilian government officials
- Advanced proficiency with presentation software and digital collaboration tools
- Project management experience or certification
- Experience supervising administrative staff
- Background in event planning or coordination
- Knowledge of protocol for government or military functions
- Familiarity with defense innovation ecosystem
