Job Description
Want a front-row seat to how a successful, growing company operates? Mayvin is seeking an exceptional Executive Assistant who wants more than a traditional administrative role. Working directly with executive leadership, you will gain exposure to every facet of the business, collaborate across departments, contribute to high-visibility initiatives, and develop skills that can open doors to future leadership and management opportunities.
This dynamic role blends executive support, office management, research, communications, event planning, and special projects. You will help turn ideas into action, create polished presentations and executive materials, keep priorities moving, and ensure our offices run seamlessly. We are looking for someone who is resourceful, intellectually curious, exceptionally organized, and eager to take ownership, solve problems, and grow professionally.
Must be a U.S. Citizen.
Must be eligible for a Secret clearance.
Responsibilities:
• Executive Support: Provide high-level administrative support to executive leadership, including calendar management, meeting coordination, travel arrangements, expense reporting, correspondence, and preparation for key engagements.
• Executive Coordination: Track priorities, action items, deadlines, and follow-up commitments on behalf of leadership, coordinating across departments to ensure timely execution and resolution of outstanding matters.
• Research and Analysis: Conduct independent research, gather and synthesize information, verify facts, and prepare concise summaries, briefing materials, and recommendations to support executive decisions and business initiatives.
• Presentations and Business Documents: Develop, edit, and refine professional PowerPoint presentations, executive briefings, reports, and other business documents, ensuring accuracy, clarity, consistency, and polished visual presentation.
• Corporate Events and Meetings: Support the planning and execution of company events, leadership meetings, employee gatherings, and offsite activities, including venue research, vendor coordination, invitations, logistics, materials, and onsite support.
• Office Management: Oversee daily operations of both Alexandria offices, including supplies, equipment, facilities coordination, shipping and receiving, mail, phones, deliveries, purchasing, and general administrative needs to maintain an organized, professional workplace.
• Communications and Special Projects: Draft, proofread, and distribute internal communications; maintain and update Canva templates and company materials; and coordinate special projects involving multiple stakeholders, deadlines, and deliverables.
• Administrative Operations and Confidentiality: Maintain organized electronic records, shared files, and administrative processes; prepare and reconcile expense reports and purchasing documentation; identify opportunities to improve workflows; and handle confidential business and personnel information with sound judgment and discretion.
