Job Description

MEC Energy Services

MEC Energy Services, LLC (MEC) is seeking a highly motivated Special Assistant to provide professional support to the U.S. Department of State’s Bureau of Near Eastern Affairs (NEA) in Washington, DC.

This is an excellent opportunity for a foreign affairs, international relations, policy, or federal government professional who thrives in a fast-paced environment and wants to work at the center of Department of State operations.

The Special Assistant will work closely with office leadership and staff, supporting the preparation and clearance of official Department materials, tracking high-priority taskings, preparing briefing materials, conducting research, supporting meetings and events, and helping ensure leadership has the information and materials necessary to execute the mission.

The successful candidate will be an exceptional communicator and organizer who can manage competing priorities, work under compressed deadlines, exercise sound judgment, and produce polished work for senior-level audiences.

Why Join MEC?

At MEC, you’ll have the opportunity to support critical U.S. Government missions while working alongside experienced professionals in the federal contracting and foreign affairs communities. This position offers direct exposure to Department of State operations and provides an opportunity to contribute to work supporting U.S. foreign policy and senior Department leadership.

For candidates interested in building or continuing a career in foreign affairs, national security, international relations, or federal service, this role provides valuable hands-on experience with Department processes, interoffice coordination, executive-level support, policy research, and high-priority taskings.

Position Responsibilities

• Support the preparation, coordination, editing, handling, and clearance of official Department of State documents, taskers, and other written products.

• Consolidate and incorporate edits into documents being cleared within the Department of State and with other agencies.

• Coordinate with Special Assistants, Executive Assistants, office leadership, and staff to prepare materials for senior officials.

• Compile daily read books and briefing materials containing necessary background information and preparation materials for meetings, speaking engagements, travel, and events.

• Track, report, and follow up on assignments and taskers issued by office leadership.

• Monitor deadlines and help ensure high-priority products move through the appropriate review and clearance processes.

• Prepare and distribute recurring administrative products, trackers, and leadership materials.

• Staff office meetings, including note-taking, updating meeting materials, coordinating room and IT requirements, and maintaining distribution lists.

• Maintain office email distribution lists, phone lists, files, and other administrative resources.

• Conduct research and synthesize information on events, developments, and subjects relevant to the office mission, including issues related to Defeat ISIS.

• Provide administrative and logistical support for high-level meetings, events, working groups, travel, and other special activities.

• Respond to special projects and rapidly developing taskings in a fast-paced environment.

• Perform additional duties authorized by the Government Task Manager within the scope of the position.

What We’re Looking For

The strongest candidates will bring a combination of excellent writing, organization, research, and executive-support skills. Experience working within the Department of State, another federal agency, Congress, the foreign affairs community, or a similarly demanding professional environment is particularly valuable.

Competitive candidates may have experience with:

• Department of State or federal government front-office operations

• Foreign affairs, international relations, national security, or public policy

• Executive or senior leadership support

• Drafting, reviewing, editing, and formatting memoranda and official correspondence

• Tasker and document clearance management

• Briefing book and meeting-material preparation

• Policy and open-source research

• Tracking multiple assignments and deadlines simultaneously

• Interagency or interoffice coordination

• Preparing meeting notes and official records

• Handling sensitive or classified information

• Supporting senior officials in deadline-driven environments

Ideal Candidate

You may be an excellent fit if you are someone who can receive a high-priority assignment, quickly determine what needs to happen, coordinate with the appropriate stakeholders, track the product through completion, and ensure leadership receives an accurate and professionally prepared final product.

You should be comfortable operating in an environment where priorities can change quickly and where attention to detail, discretion, responsiveness, and sound professional judgment matter.

A background in International Relations, International Affairs, Political Science, Public Policy, Government, National Security, or a related discipline would align particularly well with the work performed in this position.

Work Location & Schedule

This is a full-time, on-site position in Washington, DC.

The anticipated work schedule is 40 hours per week. Additional hours may occasionally be required to support mission requirements, deadlines, or high-priority assignments.

Security & Employment Requirements

Employment is contingent upon Government/customer approval and the successful completion of applicable background investigation and security requirements.

Candidates must be able to satisfy all Government suitability and security requirements associated with the position.

Must be able to obtain and maintain a U.S. Government Top Secret security clearance.

Why This Role Matters

The Special Assistant helps keep a high-tempo Department of State office moving. From preparing leadership materials and tracking critical taskings to coordinating clearances, supporting meetings, conducting research, and responding to rapidly developing requirements, this position sits at the intersection of policy, operations, communication, and executive support.

This is an excellent opportunity for someone seeking more than a traditional administrative position and who wants meaningful experience supporting senior-level foreign affairs operations.

Join the MEC Team

If you are a detail-oriented professional with strong writing, research, organizational, and communication skills—and you are interested in supporting the U.S. Department of State and its foreign affairs mission—we encourage you to apply.

Bring your experience, judgment, and ability to perform in a demanding environment to a team supporting an important U.S. Government mission in Washington, DC.
