Job Description
The Project Coordinator at ReliaSource plays a critical role in the successful execution of projects by serving as the primary point of contact for recruiting, coordinating, and managing field technicians and communicating with customer sites. This position is responsible for ensuring the right technicians are identified, qualified, scheduled, and prepared to complete assigned project tasks while maintaining clear communication among all stakeholders.
Project Coordinators work closely with internal project management teams, customers, site contacts, and field technicians to coordinate schedules, manage project logistics, and ensure all parties have the information and resources necessary for projects to operate smoothly and meet customer expectations.
The role requires strong organizational skills, attention to detail, proactive communication, and the ability to manage multiple projects and deadlines simultaneously.
Key Responsibilities
Technician Recruiting and Staffing -
Serve as a primary recruiter for ReliaSource projects, identifying, sourcing, screening, and coordinating qualified technicians to meet project requirements.
Develop and maintain a pipeline of reliable field technicians through recruiting platforms, professional networks, referrals, and other sourcing methods.
Review technician qualifications, technical experience, certifications, clearances, geographic availability, and project-specific requirements.
Communicate project scope, responsibilities, schedules, travel requirements, compensation details, and expectations to prospective technicians.
Coordinate technician selection and assignments to ensure appropriate coverage for each project location.
Maintain accurate records of technician candidates, availability, qualifications, assignments, and contact information.
Build and maintain positive relationships with technicians to support successful project completion and future staffing needs.
Customer and Site Coordination -
Contact customer sites and designated points of contact to introduce the project, confirm site readiness, and establish communication before scheduled work.
Serve as a liaison between customer representatives, site personnel, internal project teams, and assigned technicians.
Coordinate site schedules, installation dates, arrival times, access requirements, shipping details, and other logistical considerations.
Communicate project scope, expectations, and relevant technical or operational information to site contacts.
Confirm that sites have the necessary resources, equipment, access, and personnel available before work begins.
Provide timely updates regarding scheduling changes, technician assignments, project status, and potential delays.
Maintain professional customer relationships by providing responsive communication and helping ensure a positive customer experience.
Project Scheduling and Logistics -
Coordinate project timelines, technician schedules, site appointments, and travel arrangements as applicable.
Track equipment shipments, delivery dates, tracking information, and other project-related logistics to help ensure technicians and sites are prepared.
Send pre-project communications outlining installation instructions, site requirements, points of contact, and other essential details.
Conduct confirmation calls and follow-ups with technicians and site contacts before scheduled project dates.
Monitor scheduling conflicts, resource availability, and project dependencies to identify potential issues before they affect execution.
Adjust schedules and coordinate alternative resources when project requirements or timelines change.
Ensure all stakeholders receive accurate, consistent, and timely information throughout the project lifecycle.
Qualifications and Skills -
Experience in project coordination, recruiting, staffing, operations, customer service, or a related field.
Strong written and verbal communication skills, with the ability to communicate professionally with customers, technicians, and internal stakeholders.
Excellent organizational and time-management skills, with the ability to manage multiple projects, deadlines, and competing priorities.
Experience sourcing, screening, and coordinating technicians or other field-based personnel is preferred.
Strong problem-solving skills and the ability to anticipate challenges and take a proactive approach to resolution.
High attention to detail and commitment to maintaining accurate project information.
Proficiency in Microsoft Office applications, spreadsheets, email, and project tracking tools.
