Responsibilities
- Serves as a trusted advisor to the Senior Executive.
- Coordinates the day-to-day workload and priorities of the Senior Executive to achieve planned deliverables, goals, and objectives while balancing unplanned emergent priorities of the day.
- Manages the calendar and schedule for the Senior Executive.
- Manages incoming tasks and data calls, assigns tasks to the appropriate subject matter expert, and tracks tasks through completion.
- Reviews staff deliverables to ensure the Senior Executive receives "signature-ready" materials of high quality and on-time.
- Creates, edits and proofreads documents, including memos, letters, reports, and presentations.
- Coordinates logistics for business trips for the Senior Executive, including booking travel, preparing itineraries, and assisting with travel expense reports.
- Handles confidential communication and executive correspondence, including email and phone communications, with professionalism and discretion.
- Prepares meeting materials and records minutes to document key decisions.
- Ensures the efficient and effective day-to-day operations and smooth communications flow across the office.
- Organizes meetings, all-hands, and other office events.
- Manages the on-boarding and off-boarding of staff.
- Conducts the inventory and procurement of office supplies.
- Assists with special projects by coordinating resources and tracking progress.
Qualifications
- Education: Bachelor's degree.
- Experience: Minimum of 7 years of relevant experience.
- Tools: Proficiency in Microsoft Suite including Project, SharePoint, Teams.
- Clearance: Current possession of a Public Trust, or the ability to obtain one.
Knowledge, Skills, and Abilities
- Proven track record of successfully supporting Senior Executives.
- Demonstrates high levels of professionalism and decorum.
- Ability to manage and prioritize the busy schedules of Senior Executives.
- Excellent written and verbal communication skills.
- Ability to collaborate effectively with all stakeholders.
