Job Description
Zachary Piper Solutions is seeking an Executive Assistant / Office Manager to support a senior Program Manager overseeing multiple SETA and A&AS portfolios supporting Space Systems Command. This role serves as the operational backbone of the office, managing calendars, taskers, meeting coordination, administrative actions, and office operations across several high-visibility national security space programs.
Position: El Segundo, CA (Onsite)
Responsibilities:
- Manage executive calendars, schedules, action items, and taskers.
- Coordinate meetings, leadership reviews, customer engagements, and travel.
- Track deliverables, suspense dates, and program priorities to ensure timely execution.
- Prepare meeting materials, reports, briefings, and executive correspondence.
- Capture and distribute meeting minutes and action items.
- Maintain electronic files, shared drives, and documentation repositories.
- Support personnel actions, onboarding activities, and office administration.
- Interface with senior military, government, and industry stakeholders.
- Provide general administrative, clerical, and secretarial support as needed.
Qualifications:
- Bachelor's degree and 5-10 years of experience in executive support, office management, program support, or administration (ideally within a PMO, PEO, or in the defense contracting industry).
- Experience supporting senior leaders, program managers, or executive-level customers.
- Strong organizational, scheduling, and task management skills.
- Proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams).
- Experience managing shared drives, documentation, and data organization.
- Strong written and verbal communication skills.
Preferred:
- Experience supporting DoD, Space Force, SSC, aerospace, or defense programs.
- Familiarity with SETA, A&AS, program management, or engineering support environments.
- Experience with Jira, Confluence, SharePoint, or Power BI.
- Experience supporting senior military officers, SES personnel, or government executives.
Clearance:
- Active TS/SCI Clearance required.
Compensation:
- $110,000 - $120,000
