File Prepper - Undergraduate Admission Office

Part-Time | 20-25 Hours per Week, 8am - 5pm
Location: North Dallas, near 75 and Mockingbird
Pay: $20hr

Position Overview
The Undergraduate Admission Office is seeking a highly detail-oriented and organized File Prepper for the Undergraduate Admission Office to support the undergraduate admission application review process.
This position is responsible for conducting the initial review of undergraduate admission applications, evaluating high school transcripts, recalculating high school GPAs according to established institutional guidelines, and preparing applicant files for Admission Committee review.
The ideal candidate will have a background in data entry, bookkeeping, academic records, admissions, administrative support, or another detail-oriented field. Experience working in a higher education or academic environment is preferred.

Key Responsibilities
  • Perform the initial review of undergraduate admission applications prior to Admission Committee review.
  • Review applicant files for completeness, accuracy, and consistency.
  • Evaluate and review high school transcripts as part of the admission application process.
  • Recalculate high school GPAs according to established institutional policies and guidelines.
  • Review courses, grades, curriculum, and academic rigor reflected on high school transcripts.
  • Identify advanced, honors, AP, IB, dual-enrollment, or other relevant coursework as applicable.
  • Verify academic information and enter data accurately into admissions systems and spreadsheets.
  • Identify missing, inconsistent, or questionable information and flag files for appropriate follow-up.
  • Organize and prepare applicant files and academic information for Admission Committee review.
  • Maintain accurate documentation of transcript evaluations and GPA calculations.
  • Follow established admission policies, procedures, and evaluation standards consistently.
  • Handle applicant information with a high level of confidentiality, professionalism, and discretion .
  • Manage multiple application files while meeting established deadlines and maintaining a high degree of accuracy.
  • Communicate questions or discrepancies to appropriate members of the Undergraduate Admission Office.
  • Provide administrative and data-entry support related to the undergraduate application review process as needed.
Qualifications
  • Experience in data entry, bookkeeping, admissions, academic records, administrative support, or another detail-oriented role .
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time-management skills.
  • Ability to carefully review and interpret detailed academic records.
  • Ability to perform calculations accurately and consistently.
  • Comfortable working with spreadsheets, databases, electronic records, and other computer-based systems.
  • Ability to follow established policies and guidelines and apply them consistently.
  • Strong written and verbal communication skills.
  • Ability to work independently while meeting deadlines and maintaining productivity.
  • Ability to handle confidential student and applicant information appropriately.
  • Experience in higher education, undergraduate admissions, academic records, or a related academic environment is preferred.
Work Schedule & Environment
  • Part-time: 20-25 hours per week preferred
  • Remote work available
  • Work will be performed in support of the Undergraduate Admission Office .
  • The position requires consistent attention to detail and the ability to manage application review responsibilities independently.
  • Scheduling may be coordinated around application review timelines and departmental needs.
Onboarding & Training
Onboarding and training: Week of October 26
Work begins in earnest: November 1-10
Training will include:
  • Undergraduate application review procedures
  • Transcript evaluation processes
  • High school GPA recalculation guidelines
  • Academic record review standards
  • Admissions systems and data-entry procedures
  • Applicant file preparation and documentation
  • Procedures for preparing files for Admission Committee review
