Job Title: Program Administration Coordinator

Alpha Omega is seeking a qualified Program Administration Coordinator to support one of our clients. This position provides mission-essential staffing and operational support that directly enables the timely and effective delivery of contractual requirements across multiple federal agency workstreams.  The role ensures candidates navigate the contractor background investigation (BI) process and are onboarded quickly, accurately, and in compliance with agency requirements. The person serves as the primary coordinator for contractor background investigation, onboarding, offboarding and transfer activities.  The person must be committed to accuracy and detail; have excellent stakeholder expertise and communication skills; and can navigate across the corporate and government environments. The person will use discretion in communicating directly with government officials and offices. The person will escalate issues to the CPMO Manager.


Responsibilities:


  • Supports the planning, coordination, tracking, and delivery of federal contractual deliverables. Drafts select deliverables. Manages the approval process.

  • Coordinates the onboarding, offboarding and transfer processes of candidates and contractors.

  • Primary POC for candidates navigating the government background investigation process, including intake, completion of PDF forms, IRS requirements, PIV cards and GFE procurement.

  • Works directly with Contract Project Managers and ensures correct information flows between all stakeholders, government and corporate.

  • Responds to requests for information and maintains open communication channels for status and logistics.

  • Responsible for maintaining records databases and some contract artifacts.

  • Works with CPMO Manager to maintain CPMO library, including standard operating procedures (SOPs), and participates in continuous improvement initiatives.

  • Under that direction of the CPMO Manager and Contract PMs, responsible for the maintenance, delivery and filing of:

    • Monthly Personnel Staffing Reports (will compile drafts)

    • Quarterly Personnel Reports (will compile drafts)

    • Monthly Accrual Reports as needed

    • Monthly Invoices as needed

    • Monthly Program KPI and SLA reports as needed

    • Quarterly Subcontractor Reports as needed

    • Weekly Staffing Status to Contract PM(s) as needed





Required Skills/Experience:



    • 1-3 years of experience supporting federal government contracts, program management offices (PMOs).

    • Coordinating tracking, ensuring quality and schedule for contractual deliverables.

    • Developing, maintaining and managing Standard Operating Procedures (SOPs), process documentation, and operational workflows

    • Managing document repositories, records, and knowledge management systems using SharePoint or similar collaboration platforms.

    • Supporting cross-functional teams and stakeholders in preparation, review, coordination, and submission of contractual deliverables.

    • Maintaining deliverable schedules, status reporting, action item tracking, and supporting documentation.

    • Ensuring documentation and deliverables comply with contractual requirements, organizational standards, and quality expectations.

    • Facilitating collaboration among program, technical, and corporate support teams to meet contractual objectives and deadlines.

    • Excellent skills required in Excel; SharePoint; Microsoft Teams; Copilot Chat; Adobe PDF

    • Problem-solving in fast-paced environment

    • Ability to work independently and as part of multiple teams

    • Exceptional organizational skills

    • Excellent written and verbal communication skills.




Preferred Skills:


  • Understanding of software development lifecycle (SDLC) or other technical areas



Preferred Education:


  • Associate’s degree minimum



Desired Certifications:


  • Agile, scrum master, software or other training and certifications a plus





      Salary and Benefit Information:


      The likely salary range for this position is $68,000– $80,000. This is not, however, a guarantee of compensation or salary. There are multiple factors that are considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align to the specified role, education and certifications as well as contract provisions regarding labor categories that are specific to the position and could fall outside of this range.
