Job Description
Description
The incumbent prepares inactive Office of Defense Trade Controls Compliance (PM/DTCC) records for transfer to the archives, following the office's Archives Record Procedures. The incumbent puts together archive boxes, moves files from office shelving to a prep workstation, and removes all staples, paper clips, binder clips, dividers, sticky notes, and flags before moving records into new folders. The incumbent labels each new folder with the company names and the last year of records, fits as many companies as possible into each folder, and packs boxes facing the front with three-finger spacing between folders. Records will not accept overcrowded boxes. The incumbent creates and maintains a MANIFEST spreadsheet listing each box's contents.
Working with the PM/DTCM Records Management Analyst, the incumbent checks every box for quality: each folder listed must be in the box, company codes and names must match the folder labels exactly, and any errors in the box or form must be fixed before the box moves to storage. The incumbent coordinates archive pickups with the PM/DTCM Records Management Analyst and the Archives Management office. The incumbent helps submit the archiving request form for approval, saves the approved forms to the Archives shared folder, and schedules pickup dates and times with archiving support.
