Job Description

SABG is hiring a Payroll Specialist to support the CFO and accounting department. The Payroll Specialist is responsible for the accurate and timely processing of payroll for approximately 350-400 employees in a government contracting environment. This position manages the full payroll cycle, including employee timekeeping, payroll processing, deductions, taxes, reconciliations, reporting, and year-end activities.

The Payroll Specialist works closely with Human Resources, Accounting, Contracts, and employees to ensure payroll is processed accurately and in compliance with company policies, federal and state requirements, and applicable government contracting requirements.

JOB TITLE: Payroll Specialist

LOCATION: Fairfax, VA

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Process semi-monthly full-cycle payroll accurately and on time for approximately 350-400 employees.
  • Review, validate, and reconcile employee timekeeping data, approvals, and payroll inputs before processing.
  • Maintain payroll data for new hires, terminations, compensation changes, bonuses, deductions, direct deposits, tax elections, and other employee changes.
  • Calculate and process regular wages, overtime, paid leave, bonuses, and other special payments, as applicable.
  • Process and reconcile benefit deductions, retirement plan contributions, garnishments, and other authorized deductions.
  • Ensure accurate federal, state, and local payroll tax withholding for employees working in multiple jurisdictions.
  • Research and resolve payroll discrepancies and employee payroll questions promptly and professionally.
  • Reconcile payroll registers to bank activity, general ledger accounts, labor distribution, and related payroll reports; prepare payroll journal entries as needed.
  • Reconcile payroll-related balance sheet accounts and investigate outstanding or unusual items.
  • Coordinate with Human Resources on employee status changes, benefits, leave, and other payroll-impacting transactions.
  • Support administration and reconciliation of the company's 401(k) plan and other payroll-related benefit deductions.
  • Prepare and reconcile quarterly and annual payroll information, including Forms 941, W-2, W-3, and applicable state and local filings.
  • Maintain complete payroll records and supporting documentation in accordance with company record-retention requirements.
  • Support internal, external, benefit-plan, DCAA, and other government audits by preparing payroll documentation and responding to payroll-related requests.
  • Maintain appropriate segregation of duties, confidentiality, audit trails, and internal controls over payroll processing.
  • Identify and support opportunities to improve payroll processes, controls, automation, and efficiency.

Government Contracting and Deltek Costpoint
  • Maintain a working understanding of payroll and timekeeping requirements applicable to government contractors and company policies.
  • Process and validate payroll information in Deltek Costpoint and review employee time and labor data transferred into payroll.
  • Research and resolve discrepancies among timekeeping, payroll, labor distribution, and general ledger records.
  • Generate and review Costpoint payroll and labor reports and maintain payroll-related employee information.
  • Assist with Costpoint payroll configuration, testing, upgrades, and process improvements, and coordinate with Accounting, HR, and system administrators to resolve system issues.
  • Perform other projects and duties assigned by the CFO or Accounting Manager.


EDUCATION AND EXPERIENCE:
  • Bachelor's degree in Finance, Accounting or related field.
  • Experience in government contracting or regulated accounting environment preferred.
  • Strong understanding of GAAP and familiarity with FAR/DFARS is a plus.
  • Proficiency with accounting systems (e.g., Deltek Costpoint, Unanet) is highly beneficial.
  • Excellent attention to detail, organizational skills, and ability to meet deadlines.
  • Strong communication skills and ability to work cross-functionally.


COMPUTER SKILLS:
  • Skills in operating a personal computer and standard office equipment
  • Must have proficiency in a variety of computer software applications especially Excel spreadsheets, (MS Office: Word, Excel, PowerPoint, Outlook)

LANGUAGE SKILLS:Ability to read, analyze, and interpret governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.

MATHEMATICAL SKILLS:Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to question activities and issues in all functional areas and make sound business decisions based on that data.
