Senior Administrative Assistant:
- Associate's degree in business administration, public administration, management, or related field.
- At least 8 years of experience performing duties like those outlined in section 5.4. Strong organizational and prioritization skills. Excellent attention to detail and quality assurance.
- Excellent verbal and written communication and interpersonal skills.
- Experience with work ticketing management systems and experience with the Federal Government are preferred.
- Must be proficient in Microsoft Office suite.
Administrative & Clerical Support :
- Addresses routine clerical and program office issues independently.
Asset Lifecycle Management:
- Manages accountable and nonaccountable assets, including deployment, maintenance, and decommissioning/disposal.
- Ensures all asset documentation is accurate, complete, and compliant with audit and reporting requirements.
- Conducts inventory reviews and prepares audit documentation.
- Coordinates asset discrepancies reviews and updates asset records.
- Provides high level monitoring of deadlines and projects outcomes.
- Handles the submission and monitoring of service requests for all property related matters.
Documentation & Records Oversight:
- Drafts internal written products for supervisory review.
- Maintains structured files and updates documentation to ensure compliance with organizational standards.
- Prepares reports, and reconciliation documents for review.
Meeting Support:
- Prepares slide decks, briefing binders, and meeting materials.
Facilities & Space Management:
- Handles the submission and monitoring of service requests for facilities maintenance and repairs.
- Assists with access control processes and accompanies people through restricted zones, including during nonstandard business hours as needed, possibly requiring overtime.
- Ensures alignment between facility operations, safety requirements, and program mission needs.
- Coordinates with OIG personnel regarding movement, installation, placement, or removal of assets.
Stakeholder & Coordination:
- Coordinates with internal and external stakeholders on asset management schedules, requirements, and compliance issues.
- Communicates with OIG staff regarding asset updates, timelines, and documentation needs.
