Position Summary:
LAUKOA is seeking two full-time Medical Administrative Support Specialists to support the Louisiana Army National Guard State Surgeon Office in Pineville, Louisiana. These positions provide non-clinical medical administrative support by maintaining, safeguarding, updating, and processing Soldier Treatment Records and supporting medical readiness activities.

DUTIES AND RESPONSIBILITIES INCLUDE:
• Review privacy rights with each Service Member and obtain the appropriate signed release of information, including DD Form 2870 or the required VA-specific authorization.
• Review MEDPROS, MEDCHART, MODS, medical readiness portals, TEAMS, and other applicable DoD systems before medical readiness events to identify required services and prepare records.
• Maintain Soldier medical and dental records in accordance with Army Regulation 40-66.
• Mark and safeguard files, output products, and storage media according to classification level and release information only to authorized personnel with a valid need to know.
• Create, maintain, and process medical and dental records for incoming, current, and separating members, including scanning, indexing, and labeling records in Health Readiness Records and filing hard copies.
• Assist Service Members in scheduling appointments with appropriate Government-contracted medical and dental facilities.
• Review and update all open eCase records at least once every 30 calendar days and document courses of action and required follow-up items.
• Document Service Member interactions and medical-chart updates within 24 hours of the interaction.
• Scan, index, and enter updated medical and dental documents into the appropriate systems of record within five business days after receipt or a medical readiness event, and stamp documents “MEDPROS Posted” as required.
• Request, receive, upload, index, and route medical and dental documentation through the State Surgeon Office, Medical Command, and the LAARNG medical records custodian.
• Create hard-copy medical records for new accessions within 14 calendar days after receipt of the enlistment order.
• Review medical records and update the State Surgeon Office and Medical Readiness NCO before Basic Military Training, schools, transfers, discharge, retirement, and medical readiness events.
• Prescreen Service Member medical records for scheduled medical readiness events at least 30 business days before the event.
• Attend and provide administrative support at all required medical readiness and Soldier Readiness Processing events at Camp Beauregard and at other locations when travel is approved.
• Conduct and document monthly audits of 10 percent of Service Treatment Records in accordance with Army Regulation 40-66 and maintain on-site archives for discharged, deceased, and separated Soldiers.
• Provide dental records when required to support identification of human remains.
• Process records requests from Soldiers, the Department of Veterans Affairs, state agencies, and medical providers within 30 days and in accordance with Army Regulation 40-66.
• Inventory Service Treatment Records and electronic records and prepare supporting correspondence for Congressional and Freedom of Information Act inquiries.
• Close out Service Treatment Records within 30 days after a Service Member separates from the LAARNG.
• Run and provide newly required system-generated reports as DoD systems and reporting requirements change.
QUALIFICATIONS:
• Must provide all information required for background checks and meet installation-access and personal-identity-verification requirements.
• Must obtain and maintain required Common Access Card eligibility, DoD cyber-awareness and information-assurance training, annual HIPAA certification, and systems authorization before accessing Service Member records.
• Must be fully trained and otherwise qualified to perform the assigned medical administrative services and safeguard protected health information, personally identifiable information, and Government systems.
• Must be available to work full-time on-site in Pineville, Louisiana, Tuesday through Friday from 0700 to 1730, and support approved medical-readiness-event travel when required.
• A current state driver license is required when operating a motor vehicle on Camp Beauregard or at a Louisiana Army National Guard armory.
