Opportunity

Join The Ascendancy Group’s (TAG) Headquarters Operations team as the Executive Assistant to the Chief Executive Officer (CEO). This trusted, high-visibility position provides comprehensive executive, administrative, and operational support and helps the CEO remain focused on TAG’s mission, strategic priorities, customers, and growth.

The Executive Assistant serves as a central point of coordination among the CEO, executive leadership, employees, government and industry partners, customers, vendors, and other stakeholders. Success requires exceptional judgment, discretion, responsiveness, attention to detail, and the ability to anticipate needs in a fast-paced government-contracting environment.

Overview

The Executive Assistant manages the CEO’s calendar, communications, travel, meetings, briefings, records, action items, and day-to-day administrative priorities. The position also supports headquarters operations and special projects, protects sensitive information, and represents the CEO and TAG with professionalism. This role reports directly to the CEO and works closely with Operations, Finance, Contracts, Recruiting, Facility Security, and other corporate functions.

Security Requirement:

An active U.S. Government Secret security clearance is required before the start date and must be maintained throughout employment.

Roles and Responsibilities:

• Provide proactive, confidential executive support to the CEO and serve as a trusted administrative partner.

• Manage a complex and frequently changing executive calendar; prioritize requests, identify conflicts, protect focus time, and ensure the CEO is prepared for each engagement.

• Coordinate internal and external meetings, conference calls, leadership sessions, customer engagements, board or advisory activities, and company events, including logistics, technology, access, and visitor requirements.

• Prepare and organize agendas, read-ahead packages, talking points, briefing books, presentations, reports, correspondence, and decision-support materials.

• Attend selected meetings, capture accurate minutes and decisions, track action items and deadlines, and follow up with owners through completion.

• Manage the CEO’s email and correspondence as authorized; screen, prioritize, route, draft, proofread, and track communications requiring response or action.

• Serve as a professional liaison for the CEO with TAG leadership and employees, government and industry customers, partners, subcontractors, vendors, and other stakeholders.

• Arrange domestic and international travel, including itineraries, transportation, lodging, meeting schedules, required approvals, and contingency plans; reconcile travel and business expenses accurately and promptly.

• Maintain organized electronic and physical executive records, contact lists, distribution lists, templates, and files in accordance with company retention, privacy, cybersecurity, and security requirements.

• Handle sensitive business, contractual, personnel, financial, and security-related information with sound judgment and strict confidentiality.

• Coordinate with Facility Security on visitor access, visit requests, secure meeting requirements, foreign-travel or foreign-contact processes, and other applicable security procedures.

• Monitor commitments, deliverables, deadlines, recurring requirements, and strategic priorities; provide reminders, status updates, and early warning of potential issues.

• Conduct research, compile data, summarize findings, and prepare concise executive-level recommendations or background materials.

• Support proposal, capture, customer-engagement, recruiting, onboarding, corporate-event, and special-project activities as directed by the CEO.

• Assist with headquarters administration, including office coordination, supplies, shipping, vendor scheduling, facilities requests, records, and reception or visitor support when needed.

• Develop and improve administrative workflows, standard operating procedures, templates, trackers, and communication processes that increase executive and organizational effectiveness.

• Exercise sound judgment when representing the CEO, respond appropriately to urgent matters, and maintain composure while balancing competing priorities.

• Perform other duties and special assignments as directed by the CEO.

Position Requirements:

• U.S. citizen with an active U.S. Government Secret security clearance.

• Minimum 5 years of progressively responsible executive-assistant, senior administrative-support, office-management, military executive-support, or comparable experience.

• Demonstrated experience directly supporting a CEO, president, senior executive, general or flag officer, senior government leader, or equivalent decisionmaker.

• Advanced proficiency with Microsoft 365/Office, including Outlook, Word, Excel, PowerPoint, Teams, OneDrive, and SharePoint.

• Expert calendar, meeting, email, travel, expense, document-production, records-management, and action-tracking skills.

• Ability to draft, edit, proofread, and format polished correspondence, presentations, reports, meeting minutes, and executive materials with a high degree of accuracy.

• Exceptional discretion and demonstrated ability to safeguard classified, CUI, proprietary, personnel, financial, and other sensitive information.

• Strong written and verbal communication, interpersonal, customer service, organization, time-management, and problem-solving skills.

• Ability to anticipate executive needs, work independently with limited supervision, exercise sound judgment, and appropriately prioritize urgent and confidential matters.

• Ability to manage multiple deadlines and shifting priorities in a fast-paced, high-accountability environment while maintaining attention to detail and follow-through.

• Professional presence and ability to communicate effectively with senior military and government officials, customers, executives, employees, and external partners.

• Working knowledge of office administration, business etiquette, records management, cybersecurity awareness, and security-compliance practices.

• Ability to work onsite at TAG headquarters and adjust work hours when mission requirements, executive travel, or time-sensitive matters require support.

• Ability to travel occasionally in support of the CEO and company requirements.

Preferred Qualifications

• Bachelor’s degree in business administration, management, communications, organizational leadership, or a related field; equivalent military or professional experience may be considered.

• 7+ years of executive-support or senior administrative experience in government-contracting, Department of Defense, Intelligence Community, SOF, or military environment.

• Experience supporting a Service-Disabled Veteran-Owned Small Business (SDVOSB), federal contractor, or geographically dispersed workforce.

• Experience coordinating executive travel, customer visits, secure meetings, proposals, corporate events, and leadership off sites.

• Familiarity with DoD terminology, government contracting, FAR/DFARS environments, and security procedures.

• Experience with Adobe Acrobat, Microsoft Planner, Power Automate, Forms, or comparable workflow and collaboration tools.

• Professional Administrative Certification of Excellence (PACE), Certified Administrative Professional (CAP), Microsoft Office Specialist (MOS), or comparable certification.

• Active Top Secret security clearance.
