Position Overview: The Staff Assistant II provides comprehensive administrative and operational support to offices within Economic Affairs (E). The contractor may be tasked across multiple offices as operational needs arise and serves as a key liaison to ensure coordination of administrative, management, and operational processes across relevant offices and bureaus.
Key Duties:
· At the direction of senior leadership, ensure proposals and orders are directed to the appropriate offices for implementation and prompt action. Track assignments, programs, and schedules in coordination with relevant staff.
· Perform a variety of administrative and office management tasks to support the smooth flow of information and tasks through the Front Office and across the bureau. Devise and implement procedures and practices to coordinate and control the flow of information to and from the office.
· Distribute taskers that flow into the office and review resulting briefing papers, presentations, speeches, memoranda, and other products for quality and accuracy. Resolve administrative bottlenecks and correct deficiencies to streamline the flow of information and improve the efficiency and effectiveness of routing information and taskers through the Front Office.
· Establish and implement standards for efficient document management for incoming cables, correspondence, memoranda, informational documents, and taskers. Designate priority items when applicable and establish processes for tracking and ensuring the completion of these priority items. Provide clearance on items where policy issues are not in contest, but staff clearance is required.
· Develop and maintain a system for tracking and monitoring the status of actions within the bureau, including various types of correspondences, proposals, and recommendations on a wide range of issues. Advise staff on upcoming and overdue deadlines and priority issues. Review and revise outgoing documents for proper format, consistency, appropriateness, substantive accuracy, and internal consistency, making necessary edits or returning to originator for changes. Respond to inquiries about the status, location, subject matter, and deadlines of various taskers, making determinations about the feasibility of meeting deadlines and notifying originators if an extension is required.
· Serve as a liaison between the Front Office and counterparts in other Department offices, policy bureaus, and external partners, including other U.S. Government agencies, private sector entities, and foreign governments. Bring urgent items to the attention of appropriate leadership as needed.
· Properly handle all official communications to the Front Office, including incoming meeting requests, speaking invitations, and other inquiries. Answer and refer incoming telephone calls and inquiries from policy officers, office directors, and division leaders. Serve as a liaison between Front Office leadership and all bureau colleagues, as well as other officials in the Department, to transmit and interpret instructions and inquiries in both directions.
· Facilitate the exchange of information with outside sources; provide accurate and timely responses to requests for information from representatives within the bureau, officials from other U.S. Government agencies, private sector contacts, and officials from foreign governments. Keep staff apprised of current bureau priorities.
· Ensure that pertinent and time-critical information of interest to senior leadership is communicated promptly. Ensure the quality and timeliness of written products drafted within
the bureau by providing guidance, enforcing deadlines, and reviewing for format, style, coherence, accuracy, content, and clearances.
· Perform special projects and other duties as assigned related to the general function, logistics, and flow of paper through the Front Office. Carry out special assignments using a high degree of tact and diplomacy.
· Review daily security, economic, and political news and determine the relevancy and impact of events and developments on the work conducted by the bureau. Flag important stories and provide oral and/or written synopsis as required.
· Support senior leadership travel, including drafting or coordinating necessary documentation, arranging and coordinating logistical support, and, when required, accompanying principals on travel.
