Work arrangement: 100% onsite
Pay rate: $27.00 per hour
Schedule: Monday-Friday, 8:30 a.m.-5:00 p.m.
Assignment duration: Through November 9, 2026, with the possibility of extension
Dress code: Business casual

Position Overview

We are seeking a professional and customer-focused Administrative Assistant I to support front desk operations within an academic department. This highly visible, student-facing position requires excellent communication skills, strong attention to detail, and the ability to manage a high volume of inquiries while providing courteous and efficient service.

The successful candidate will greet and assist students, faculty, staff, and visitors; answer and direct incoming calls; triage questions; and connect individuals with the appropriate department, resource, or staff member. This role is ideal for someone who is organized, approachable, and comfortable working in a fast-paced environment.

Key Responsibilities
  • Manage daily front desk operations and provide professional, welcoming service.
  • Greet and assist students, faculty, staff, visitors, and other members of the university community.
  • Answer a high volume of incoming phone calls and respond to general inquiries.
  • Determine the nature of each request and direct or escalate questions to the appropriate department or staff member.
  • Triage student questions and needs while managing competing priorities.
  • Provide information regarding departmental and university policies and procedures.
  • Perform a variety of administrative, clerical, and secretarial duties.
  • Prepare, format, proofread, and edit correspondence, reports, and other department materials.
  • Coordinate meetings, appointments, and events as needed.
  • Compile information and data for departmental reports.
  • Maintain confidentiality and appropriately control access to sensitive student, faculty, and staff information.
  • Support other administrative functions and special projects as assigned.
Required Qualifications
  • Previous experience working in a busy, high-volume front desk or reception environment.
  • Demonstrated experience providing customer service in person and over the phone.
  • Strong communication, interpersonal, and active-listening skills.
  • Ability to remain professional, patient, and approachable when assisting a high volume of individuals.
  • Ability to quickly assess questions, identify appropriate resources, and prioritize tasks.
  • Strong organizational skills and attention to detail.
  • Ability to handle confidential information with discretion.
  • Professional appearance and presence appropriate for a highly visible, student-facing role.
  • Proficiency with standard office equipment and computer applications.
  • Ability to work onsite Monday through Friday during the scheduled hours.
Education and Experience
  • Associate degree preferred.
  • Equivalent combination of education and experience may be considered.
  • Experience in secretarial, specialized clerical, administrative, academic, or university office environments is preferred.
