Description

MELE Associates, Inc. is seeking an energetic, highly organized, adaptable, and detail-oriented Program Management Administrator to support Department of Energy/National Nuclear Security Administration (DOE/NNSA) clients in Washington, DC. This full-time, on-site position provides administrative, operational, and logistical support to senior-level federal staff and the Business Office.


The successful candidate will have demonstrated experience supporting senior-level management and operating independently in a fast-paced environment where priorities, schedules, and requirements may change frequently. The position requires strong organizational and customer service skills, sound judgment, attention to detail, and the ability to manage multiple priorities simultaneously. The individual must be comfortable working collaboratively with federal staff, contractors, visitors, and other support personnel and be willing to shift responsibilities as mission and office needs evolve.


ESSENTIAL FUNCTIONS
The Program Management Administrator will support the management, analytical administrative and business office support to NA-20 senior leadership.  Essential functions may include:


  • Monitor inventory levels, maintain an organized supply area, identify replenishment needs, coordinate with appropriate personnel to order or replace supplies, receive and stock items, and help ensure commonly used materials remain readily available.

  • Analyze and evaluate ongoing management practices and designing and recommending management procedures for the effective use of organizational, intellectual and financial resources, as well as assisting the clients with financial/data analysis, and budget assistance.

  • Responsible for maintaining data contained in client information management systems, which will entail merging data from multiple sources, identifying and resolving discrepancies, and ensuring data meet quality standards.

  • Providing funding, financial, forecasting, program, and budgetary information to senior officials and program managers; 

  • Maintaining and reviewing status of obligations and costs; notifying program and budget officials of available funds and potential shortfalls.

  • Coordinating and attending briefings to discuss program budgets and spending, identifying financial issues and establishing policies and procedures for taking corrective action.

  • Attending strategic planning meetings and assisting in developing strategies for addressing changing appropriation limitations and methods for implementing OMB and DOE budgetary mandates and guidance.

  • Conducting quantitative, data-driven financial analysis using a variety of financial software systems including accounting data from IDW and allocation data from the Funds Distribution System (FDS).

  • Designing and producing detailed monthly and ad hoc accounting and budget reports using Excel.


    • Liaison with field and lab offices to answer all pertinent questions

    • Conduct and attend weekly meeting with headquarters and field/lab conference staff


  • Provide daily escort support for visitors, vendors, maintenance personnel, uncleared personnel, and others requiring access to controlled office areas.

  • Support conference planning and execution, including preparation and coordination of conference packages, meeting materials, attendance information, logistical arrangements, and other documentation required for review and approval.

  • Assist with office moves, workspace preparation, employee onboarding and offboarding, and the setup or removal of computers, telephones, furniture, office supplies, and other equipment in coordination with appropriate IT, security, property, and administrative personnel.

  • Assist with domestic and international travel coordination, as required, including itineraries, travel authorizations, vouchers, passports, visas, country clearances, and other associated administrative requirements.

  • All other duties as assigned.



 MINIMUM QUALIFICATIONS


  • High School Diploma.

  • Minimum five years of front office, business, management or financial management experience.

  • Current DOE Q or DoD Top Secret security clearance.

  • Excellent communication skills, orally and in writing.

  • Good customer relation skills and the ability to work independently.



PREFERRED QUALIFICATIONS


  • Experience with DOE/NNSA.

  • 7-10 + years of related experience.



LOCATION: This is a full-time on-site position in Washington, DC.


SALARY: Salaries are determined based on several factors including external market data, internal equity, and the candidate’s related knowledge, skills, and abilities for the position. The salary range for this position is $85K to $100K.
