The Mail Handling and Courier Support Specialist is responsible for the secure receipt, processing, tracking, distribution, and delivery of accountable and non-accountable mail, packages, and materials in support of a federal client. This position requires strict adherence to mail handling procedures, accountability requirements, security protocols, and customer service standards. The successful candidate will manage incoming and outgoing correspondence utilizing automated mail tracking systems, maintain accurate records, and ensure timely delivery of sensitive and accountable items.
Responsibilities
Accountable Mail Processing & Delivery
- Receive, process, track, and distribute accountable mail, including certified, registered, express, overnight, and courier-delivered packages.
- Utilize the SendPro 365 mail tracking system, or other government-designated systems, to record, process, and monitor accountable mail items.
- Process accountable mail using NRC Form 253 (Messenger/Courier Receipt) when automated systems are unavailable.
- Obtain required signatures and maintain chain-of-custody documentation for all accountable deliveries.
- Ensure either the intended recipient or authorized personnel within the recipient's office signs for delivered packages.
- Maintain delivery records and supporting documentation in accordance with established retention requirements.
- Contact recipients regarding accountable mail available for pickup and provide telephone and email notifications as necessary.
- Securely store undeliverable accountable mail and coordinate subsequent delivery attempts.
Mail Distribution & Courier Operations
- Sort, distribute, and deliver incoming mail and packages throughout the facility.
- Perform scheduled courier runs between designated offices and mail centers.
- Ensure timely and accurate delivery of correspondence, packages, and sensitive materials.
- Maintain accountability for all items while in transit.
- Follow established security and handling procedures for classified, sensitive, or controlled materials.
Outgoing Mail and Distribution Services
- Review mailing instructions and distribution requirements for outgoing materials.
- Read and interpret mailing lists to determine the quantity of documents required for each recipient.
- Assemble, collate, and prepare mailing packages containing multiple documents.
- Insert materials into appropriate envelopes or shipping containers and properly seal packages.
- Apply mailing labels according to established procedures and mailroom guidance.
- Prepare shipments using approved postal and commercial carrier services.
Records Management & Administrative Support
- Maintain organized records of mail receipts, deliveries, tracking information, and courier documentation.
- Retain accountable mail records for required retention periods.
- File, archive, and retrieve mail documentation when requested.
- Prepare reports and provide status updates regarding mail operations and accountable mail activities.
- Support audits, inspections, and compliance reviews as needed.
Required Qualifications
- Active Top Secret (TS) Security Clearance.
- High School Diploma or GED.
- Minimum 1-3 years of mailroom, courier, logistics, records management, or administrative support experience.
- Experience handling accountable mail, packages, and tracking systems.
- Ability to follow detailed procedures and maintain strict accountability of materials.
- Strong organizational skills and attention to detail.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
- Ability to communicate professionally with customers, staff, and government personnel.
- Ability to lift and move packages weighing up to 50 pounds.
- Ability to stand, walk, bend, and move throughout facilities during the workday.
Preferred Qualifications
- Previous experience supporting a federal government agency.
- Experience using SendPro 365 or comparable mail management systems.
- Knowledge of USPS, FedEx, UPS, DHL, and courier delivery procedures.
- Experience maintaining chain-of-custody records and delivery accountability systems.
- Familiarity with records retention and document management procedures.
In addition, U.S Citizenship is required. Select applicants will be subject to a government security investigation and must meet eligibility requirements for access to classified information and be able to obtain a government-granted security clearance. Individuals may also be subject to a background investigation including, but not limited to criminal history, employment and education verification, drug testing, and creditworthiness.
The hourly compensation range for this position is $27.00-29.00 depending on location plus Health & Welfare. Compensation decisions depend on a wide range of factors, including but not limited to location, skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
This position is contingent upon contract award. Employment is not guaranteed and will proceed only if the associated contract is awarded and funded.
