Job Description
The Records Management Specialist provides junior-level technical and administrative support for the Defense Information Systems Agency (DISA) records management program. Working under the Records Manager or Team Lead, the Specialist helps manage records throughout their life cycle, supports compliance, and assists DISA offices and records liaisons with day-to-day records activities.
Records Inventory and File Plan Support
- Assist with physical and electronic inventories of agency records, including hard-copy and electronic holdings.
- Enter and maintain inventory and file plan information in DISA records management systems.
- Identify, organize, label, file, retrieve, and track records and related documentation. Records Disposition and Transfer Support
- Assist in identifying records that have met their disposition date and support approved retirement, transfer, deletion, or destruction activities.
- Support the transfer of eligible records to a Federal records center and the timely transfer of permanent records to the National Archives and Records Administration.
- Prepare and process Standard Form 135, Records Transmittal and Receipt, and related scheduling and disposal documentation. Electronic Records and Repository Support
- Provide support for the setup, monitoring, and maintenance of records repositories and libraries in SharePoint Online.
- Digitize paper records and apply accurate metadata tags to electronic files in accordance with approved procedures.
- Apply appropriate access controls and handling practices for records containing personally identifiable information or classified information. Program, Training, and Administrative Support
- Assist with drafting and updating records management standard operating procedures, tip sheets, manuals, job aids, and initial responses to assigned action items.
- Support records management training by coordinating schedules, preparing materials, maintaining attendance documentation, and assisting with computer-based training updates.
- Respond to routine records inquiries and provide direct client support for filing, document maintenance, editing, and proofreading.
- Collect and validate program data and contribute to monthly status reports, briefings, project plans, compliance reviews, risk assessments, and quality-control activities.
