- Duration: 6+ months (possible temp-hire)
- Provide day-to-day administrative and clerical support to the Operations Supervisor and Operations Manager.
- Assist with coordinating daily operational activities, schedules, assignments, and departmental priorities.
- Prepare, update, organize, and maintain operational records, reports, forms, logs, and other documentation.
- Enter and maintain information in company systems, spreadsheets, databases, and tracking tools.
- Review documents and records for completeness, accuracy, and proper approvals.
- Help track work orders, production or service activity, inventory-related information, materials, supplies, and operational metrics as assigned.
- Compile information and prepare routine reports, summaries, spreadsheets, and presentations for management review.
- Support the communication and implementation of operational strategies, company policies, procedures, and process changes.
- Communicate operational updates, schedule changes, instructions, and other information to employees and relevant internal teams.
- Coordinate with departments such as production, warehouse, shipping and receiving, purchasing, quality, maintenance, human resources, and customer service as needed.
- Assist with onboarding, training documentation, employee communications, meeting coordination, and distribution of operating materials.
- Help establish, document, or adjust work procedures to support schedules, staffing needs, service levels, and department objectives.
- Monitor assigned administrative processes and follow up on incomplete items, outstanding documentation, or issues requiring resolution.
- Identify opportunities to improve administrative methods, workflow, communication, productivity, and quality.
- Make recommendations to improve efficiency, accuracy, working conditions, and the delivery of products or services.
- Escalate operational issues, documentation discrepancies, safety concerns, or schedule risks to the appropriate supervisor or manager.
- Maintain confidentiality and handle company, employee, customer, and operational information appropriately.
- Follow all applicable company policies, safety requirements, quality standards, and environmental procedures.
- High school diploma or equivalent.
- 1-3 years of experience in an administrative, operations, manufacturing, warehouse, logistics, customer service, or similar business environment.
- Strong attention to detail and ability to maintain accurate records.
- Proficiency with MS Office (Excel, Outlook, Word, and Teams). ERP preferred.
- Ability to organize work, prioritize multiple assignments, and meet deadlines.
- Strong written and verbal communication skills.
- Ability to work effectively with supervisors, managers, employees, and cross-functional teams.
- Ability to handle confidential information and exercise sound judgment.
