Responsibilities

M.C. Dean is seeking a highly organized and dependable Program Support Specialist to join our team in the United Kingdom (UK). This position provides administrative and operational support for day-to-day site activities and serves as a critical link between customers, vendors, site personnel, and internal teams, helping ensure that site access, deliveries, scheduling, documentation, and communications are handled accurately, efficiently, and in accordance with established procedures.

The ideal candidate is detail-oriented, professional, and comfortable managing multiple priorities in a fast-paced environment. This role requires strong organizational skills, a commitment to accuracy, and the ability to work effectively in a secure, compliance-driven environment.
  • Ensure site access requirements and procedures are followed by reviewing, validating, and coordinating visitor and vendor information in accordance with established protocols.
  • Coordinate delivery compliance and logistics activities, ensuring required documentation and information are received, reviewed, and communicated appropriately.
  • Schedule and coordinate vendor activities, including communicating arrival information and supporting changes to planned work or site activities.
  • Review submitted documentation for accuracy and completeness, identify discrepancies, and coordinate corrective actions with appropriate stakeholders.
  • Maintain accurate records, logs, documentation, tracking systems, and administrative files.
  • Provide general administrative support, including data entry, document preparation, correspondence, scheduling, and information management.
  • Communicate with customers, vendors, site personnel, and internal stakeholders to resolve routine questions and support operational coordination.
  • Track outstanding documentation, approvals, and required information, following up with appropriate parties to ensure timely completion.
  • Support the site team with additional administrative, operational, and program-related activities as assigned.
  • Maintain confidentiality and appropriately handle sensitive customer, visitor, vendor, and business information.

Qualifications

  • No active security clearance is required to apply. Selected candidates must be able to successfully obtain and maintain a TS/SCI clearance with CI Polygraph as a condition of employment and prior to starting in the role.
  • High school diploma or equivalent required with 6+ years of experience; associate degree or relevant post-secondary education preferred.
  • Previous experience in administrative support, program coordination, operations support, logistics coordination, or a related role preferred.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong computer skills, including proficiency with Microsoft Office applications such as Outlook, Word, and Excel.
  • Ability to maintain accurate records and follow established policies, procedures, and compliance requirements.
  • Professional demeanor when interacting with customers, vendors, visitors, and site personnel.
  • Ability to work independently while also contributing effectively as part of a team.
