Position Summary
The Onsite Hourly Recruiting Coordinator provides the administrative, scheduling and process support required to execute high-volume hourly manufacturing hiring.
Working closely with the Onsite Hourly Recruiters, the Coordinator ensures candidates are scheduled correctly, communications are sent, recruiting systems are updated, offers and pre-employment activities are tracked, and candidates are prepared for interviews, hiring events, orientation and Day 1. The Coordinator supports a positive candidate experience through accurate, timely and responsive service.

Hiring Event & Interview Support
This is a 100% onsite role in a manufacturing setting with frequent interaction among candidates, Recruiters, site HR, hiring teams, security and onboarding partners. Periodic schedule flexibility may be required to support plant shifts, hiring events, interviews and orientation activity.

Key Responsibilities
Hiring Event & Interview Support
- Support the Recruiter with preparation for onsite hiring events and high-volume interview days.
- Schedule candidates for interviews and hiring events.
- Monitor confirmations, cancellations and rescheduling requests.
- Send candidate reminders and arrival instructions.
- Prepare candidate and interview rosters.
- Coordinate interview rooms, schedules and onsite logistics.
- Support candidate check-in and candidate flow during hiring events.
- Update attendance and interview status and assist with post-event follow-up and system updates.
- Respond to routine candidate questions regarding interviews, hiring events, offers, pre-employment requirements and orientation.
- Provide accurate scheduling and arrival information.
- Follow up with candidates who have outstanding actions.
- Maintain professional and timely candidate communication.
- Escalate candidate problems or exceptions to the Recruiter or appropriate HR partner.
- Process approved offer requests and generate and send offer documents.
- Monitor outstanding offer signatures and update candidate status following acceptance.
- Maintain candidate information in applicable recruiting trackers.
- Monitor pre-employment activity and follow up on outstanding candidate actions.
- Coordinate with appropriate teams regarding candidate clearance status.
- Escalate background screening, accommodation, policy or adjudication questions rather than making independent determinations.
- Schedule candidates for new-hire orientation and send confirmations and reminders.
- Prepare orientation rosters and provide final Day 1 instructions.
- Track orientation attendance and document arrivals and no-shows.
- Coordinate approved orientation rescheduling.
- Update recruiting systems and trackers following orientation.
- Maintain accurate candidate records throughout the recruiting process.
- Update candidate stages and statuses in recruiting systems.
- Maintain hiring-event, offer, pre-employment and orientation trackers.
- Audit candidate records for missing or inconsistent information.
- Support daily recruiting reporting by ensuring candidate data is current.
- Protect confidential candidate information.
- High school diploma or equivalent.
- One or more years of administrative coordination, recruiting support, HR support, scheduling, customer service or related experience.
- Strong organizational and scheduling skills with close attention to detail.
- Professional written and verbal communication skills and a strong customer-service orientation.
- Ability to manage multiple candidates and priorities simultaneously in a fast-paced, high-volume environment.
- Ability to work onsite at the assigned U.S. manufacturing facility and periodically adjust hours for events, interviews, orientation or multiple shifts.
- Ability to learn recruiting, scheduling and candidate-management systems.
- Ability to handle sensitive candidate information appropriately.
- Experience supporting high-volume hourly recruiting, staffing, manufacturing, warehouse or distribution hiring.
- Experience coordinating hiring events, interview days or new-hire orientation.
- Familiarity with Workday Recruiting.
- Familiarity with Paradox or another automated candidate scheduling and engagement platform.
- Experience maintaining recruiting trackers or applicant-tracking-system records.
- Bilingual communication capability relevant to the site's candidate population.
- Deliver accurate and responsive interview, event and orientation scheduling support.
- Maintain timely candidate communications and clear next-step instructions.
- Process approved offers and track pre-employment activity accurately.
- Keep candidate stages, rosters and operating trackers current for daily reporting.
- Identify and escalate exceptions promptly while protecting confidential information.
- Support smooth onsite hiring events, orientation and Day 1 execution.
