Job Description

Contract Specialist

Work Location: Herndon, VA

Schedule: Full-Time

Due to the nature of the work and contract requirements, U.S. citizenship is required.

The Contract Specialist will support the Director of Contracts and assist with the full life cycle of contract administration, including preparation, negotiation, execution, monitoring, and closeout. This role provides administrative and coordination support across departments to ensure contracts comply with federal, state, and organizational requirements.

The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment. This position plays a key role in negotiating, reviewing, monitoring, and evaluating contracts while mitigating risk and ensuring compliance.

 

Responsibilities:
  • Coordinate all phases of contract preparation and administration in support of the Director of Contracts, ensuring timelines, approvals, and compliance requirements are met.
  • Support and facilitate all steps related to bids, quotes, and Requests for Proposals (RFPs), ensuring smooth coordination across internal and external stakeholders.
  • Negotiate favorable contract terms and conditions that align with organizational goals and minimize risk.
  • Conduct comprehensive contract reviews to identify potential risks and recommend appropriate language or mitigation strategies.
  • Serve as the organization’s liaison for legal contract reviews.
  • Coordinate, process, and track contract modifications, change orders, and amendments through appropriate approval channels.
  • Monitor contract execution, including terms, expenditures, deliverables, and performance to ensure compliance and effectiveness.
  • Initiate corrective actions when contract compliance issues are identified.
  • Develop and deliver detailed reports on contract status, performance, and compliance to project managers, department leads, and senior stakeholders.
  • Research and maintain awareness of cooperative procurement resources and best practices.
  • Coordinate payment processes for contracts associated with operational and capital construction projects.
  • Assist with financial tracking, budget alignment, and expenditure reporting related to contracts.

Qualifications:

  • Bachelor's Degree required. 
  • Two (2+) years of experience in contract administration, negotiation, business law or related experience.  
  • Previous work experience related to governmental contract administration is desirable
  • Must be clearance eligible.  
  • Must be able to pass a background check and drug test. 
  • Excellent communication and interpersonal skills, with the ability to clearly summarize contract terms and status.
  • Experience in a customer-facing contracts role is desirable.  
  • Strong analytical and problem-solving skills, with the ability to identify issues, analyze root causes, and develop practical solutions. 
  • Ability to thrive in a fast-paced, dynamic startup environment and manage multiple priorities with competing deadlines.
