CRI is seeking an organized, detail-oriented, and proactive Program Support Coordinator to provide operational, administrative, personnel, and logistical support to a dynamic team supporting government customers. This position will serve as a key resource for coordinating day-to-day program operations and ensuring that personnel, schedules, access requirements, logistical needs, program records, and recurring administrative requirements are effectively managed.

The Program Support Coordinator will work closely with program leadership, staff, technical teams, corporate support personnel, and other stakeholders to maintain visibility into program activities and support the efficient execution of operational requirements. The ideal candidate is adaptable, resourceful, highly organized, and capable of managing multiple priorities while maintaining a high level of accuracy, professionalism, and attention to detail.

This position requires the ability to work independently, coordinate across multiple teams and organizational functions, maintain accurate records and trackers, anticipate program needs, and provide timely support to program leadership and personnel.

Key Responsibilities

Responsibilities may include, but are not limited to:

Program Operations and Coordination
  • Provide day-to-day operational, administrative, and coordination support to program leadership and personnel.
  • Serve as a central point of coordination for a variety of recurring program operational and administrative requirements.
  • Coordinate program activities, schedules, deadlines, logistics, meetings, and other operational requirements.
  • Maintain visibility into ongoing program activities and assist in tracking actions, assignments, deliverables, and follow-up items.
  • Develop, maintain, and update program trackers, schedules, rosters, reports, contact lists, and other records used to support program operations.
  • Assist program leadership in maintaining accurate and current information regarding personnel, program activities, and operational requirements.
  • Coordinate with internal teams, management, corporate support functions, vendors, and other stakeholders to facilitate communication and ensure activities remain on track.
  • Identify opportunities to improve processes, efficiencies, coordination, and visibility across program operations and support implementation of approved improvements.

Personnel Coordination and Onboarding
  • Coordinate and track onboarding activities and requirements for new program personnel.
  • Assist with coordinating required access, accounts, equipment, training, documentation, certifications, and other onboarding requirements.
  • Maintain awareness of personnel changes, assignments, transitions, and other staffing-related activities.
  • Support personnel offboarding and transition activities, as required.
  • Maintain current program personnel rosters, contact information, distribution lists, and related records.
  • Develop and maintain program organizational charts and update them to reflect personnel, organizational, and reporting changes.
  • Assist with tracking training, certifications, recurring personnel requirements, and other program-specific requirements.

Scheduling, Staffing, and Overtime Tracking
  • Coordinate and maintain personnel schedules, including shift schedules, leave, holidays, coverage requirements, and other staffing changes.
  • Assist program leadership with maintaining visibility into staffing levels, personnel availability, and schedule coverage.
  • Track overtime and other labor-related information in support of program management, reporting, and approval processes.
  • Maintain accurate records and trackers related to schedules, overtime, staffing, and personnel activities.
  • Coordinate with program leadership and personnel regarding schedule changes and other staffing requirements.

Visitor Access and Facility Coordination
  • Coordinate and submit visitor access requests and other facility access requirements for program personnel and visitors.
  • Maintain awareness of upcoming visitors, meetings, onsite activities, and other events requiring access coordination.
  • Coordinate with appropriate security, facility, government, and program personnel to support timely access and visitor requirements.
  • Maintain records and trackers associated with visitor access requests and related coordination activities.

Logistics and Program Support
  • Coordinate program logistics, including travel, meetings, equipment, shipments, workspace requirements, and other operational needs.
  • Support planning and coordination of meetings, events, training activities, site visits, and other program requirements.
  • Assist with travel coordination and related administrative and logistical activities.
  • Coordinate with appropriate personnel to ensure program staff have the resources, information, and support necessary to perform their responsibilities.
  • Support the coordination of equipment, supplies, services, and other program resources as required.

License and Renewal Tracking
  • Maintain trackers and records associated with software licenses, subscriptions, certifications, maintenance agreements, and other recurring program requirements.
  • Monitor expiration dates and upcoming renewal requirements and coordinate with appropriate personnel to support timely action.
  • Assist with collecting, organizing, and maintaining documentation associated with licenses, renewals, purchases, and other recurring program needs.
  • Support program leadership in maintaining visibility into upcoming renewals, deadlines, and associated actions.

Documentation, Reporting, and Program Administration
  • Prepare, review, edit, organize, and maintain program documentation, reports, presentations, trackers, and other materials.
  • Collect, organize, and maintain program information and metrics to support management decision-making and program reporting.
  • Support meetings and program events, including scheduling, agendas, presentations, meeting documentation, action items, and follow-up activities.
  • Maintain organized program records and ensure information is current, accurate, and readily available to authorized personnel.
  • Support the development and maintenance of program procedures, guidance, templates, and other operational documentation.
  • Assist with invoice, procurement, travel, financial, or other administrative tracking activities as required.
  • Assist with program initiatives, new work streams, special projects, and other operational priorities as assigned.
  • Provide general support to program leadership and staff as needed to address changing priorities and operational requirements.

Qualifications
  • Experience providing program, operational, administrative, personnel, logistics, or coordination support.
  • Strong organizational skills and exceptional attention to detail.
  • Demonstrated ability to manage multiple priorities, recurring requirements, deadlines, and changing operational needs.
  • Experience maintaining schedules, trackers, personnel information, records, or other program management tools.
  • Strong written and verbal communication skills.
  • Ability to work independently with minimal supervision while effectively coordinating with personnel across multiple teams and organizational levels.
  • Strong interpersonal skills and ability to work professionally with program personnel, management, customers, vendors, and other stakeholders.
  • Strong problem-solving skills and a proactive approach to identifying and addressing issues.
  • Proficiency with Microsoft Office and other business productivity and collaboration tools.
  • Experience preparing and maintaining professional documentation, reports, presentations, spreadsheets, and other program materials.
  • Experience supporting government customers or programs is preferred.
  • Experience working in a technical, IT, operations, or government contracting environment is preferred.
  • Active Secret security clearance is required by the position.

Preferred Experience
  • Experience supporting complex programs with multiple teams, work streams, personnel, or operational requirements.
  • Experience coordinating personnel onboarding, access requirements, schedules, staffing activities, or overtime tracking.
  • Experience coordinating logistics, travel, meetings, visitor access, or facility-related requirements.
  • Experience maintaining organizational charts, personnel rosters, program trackers, or recurring requirement schedules.
  • Experience tracking software licenses, subscriptions, certifications, renewals, or other recurring program requirements.
  • Experience coordinating activities across multiple teams, organizational functions, or stakeholders.
  • Experience with program documentation, reporting, process development, and continuous improvement activities.
