Job Description

Forge Forward is seeking a proactive, highly organized, resourceful, and detail-oriented Executive Administrative Assistant to anchor our Charleston, SC office operations. Prior experience supporting NIWC Atlantic programs or demonstrated familiarity with NIWC Atlantic processes and customer expectations is highly desired.

In this critical role, you will serve as the primary administrative and executive support professional for the CHS office, acting as a trusted resource to corporate leadership, Program Managers, and project teams on-site. Beyond core executive support, this position drives our contract data integrity and compliance. You will lead the collection, consolidation, quality review, and tracking of critical contract deliverables, personnel tracking data (such as CACs, badges, and training/certification expiration tracking), and CDRLs. This requires a proactive, high engaged approach, building strong working relationships across team members, subcontractors, and managers through direct communication to gather required data efficiently, as well as designing automated tracking systems to proactively monitor compliance, upcoming expirations, and data gaps.

Furthermore, you will play an integral role in travel administration, handling travel cost estimates in accordance with the Joint Travel Regulations (JTR) and Federal Acquisition Regulation (FAR), alongside completing APACS and SPOT requests to secure OCONUS Letters of Authorization (LOAs). The ideal candidate excels in a dynamic environment, possesses exceptional organizational skills, and operates independently with strict attention to detail and absolute confidentiality.



Functional Responsibility and Required Skills:
• Executive Support: Provide comprehensive, direct support to company leadership, including proactive calendar management, meeting coordination, travel arrangements, correspondence preparation, and action item tracking.
• Proactive Data Collection & Compliance Tracking: Drive the collection, review, and consolidation of contractual deliverables, CDRL data inputs, and essential personnel tracking records (e.g., CACs, badges, certifications, and training expiration dates). Cultivate strong, collaborative channels across team members, subcontractors, and managers through direct, interpersonal communication to ensure complete, timely, and accurate data reporting.
• Process Automation & Analysis: Evaluate incoming data and leverage advanced spreadsheet or collaboration tools to develop automated tracking mechanisms that flag missing information and proactively alert leadership to upcoming expirations.
• Travel & OCONUS Administration: Develop accurate travel cost estimates in accordance with the Joint Travel Regulations (JTR) and FAR. Complete APACS and SPOT requests to secure necessary Letters of Authorization (LOAs) for personnel traveling OCONUS.
• Office Operations & Personnel Support: Manage routine on-site operations for the Charleston office, supporting onboarding, offboarding, records management, and shared administrative resources.
• Cross-Functional Collaboration: Coordinate closely with Program Managers, Project Managers, and functional staff to obtain, validate, and organize information required for reports, deliverables, and management reviews.
• Professional Communications & Reporting: Draft, edit, and format high-quality reports, presentations, memoranda, meeting materials, and internal communications while exercising sound independent judgment and strict discretion.

Desired Skills:
• NIWC LANT Experience: Prior working experience or deep familiarity with the processes, workflows, and culture at NIWC LANT (Charleston).
• Government Contracting & Compliance: Experience supporting Department of Defense (DoD) or Federal Government contracting organizations, including hands-on familiarity with CDRLs and contract reporting.
• Travel & Regulatory Frameworks: Working knowledge of the Joint Travel Regulations (JTR) and the Federal Acquisition Regulation (FAR) as they relate to travel estimates and compliance.
• Data Management & Automation: Advanced Microsoft Excel skills, including building automated tracking mechanisms or macros to flag data anomalies and expirations.
• Collaboration & Repository Tools: Experience developing and maintaining SharePoint sites, MS Teams collaboration environments, or document repositories.
• Artificial Intelligence Exposure: Familiarity with AI tools or prompt workflows designed to streamline administrative tasks, data sorting, or report generation.
• Executive Support: Proven experience providing high-level executive assistant support to senior leadership.

Education Requirements:
Associate degree in Business Administration, Management, Communications, Human Resources, or a related field is desired. An equivalent combination of education, training, and relevant professional experience may be considered in lieu of degree requirements. Minimum of 5 years of professional experience required.

Certification Requirements:
Desired Certifications: Certified Administrative Professional (CAP), Project Management Institute Certified Associate in Project Management (CAPM), Microsoft Office Specialist (MOS), or equivalent business administration/project coordination credentials.

Clearance Requirements:
SECRET (minimum) with current SSBI/T5 investigation required. TS/SCI clearance desired.
