Job Description

Kelly Services is seeking an experienced Public Affairs & Communication Assistant to provide high-level administrative and project support to senior leadership within the organization. The successful candidate will play a key role in supporting the department's operations, stakeholder management, and communications initiatives, requiring exceptional organizational skills, professionalism, and the utmost confidentiality.
Position: Public Affairs & Communication Assistant
Pay Rate: $32.00 per hour
Location: Clayton, NC
Hours: 9:00 am - 6:00 pm
Key Responsibilities:
  • Provide comprehensive administrative, clerical, and process support to the VP/Director and department leadership.
  • Manage sensitive documents, scheduling, meeting logistics, travel coordination, onboarding, KPI tracking, and social activities.
  • Lead and coordinate assigned projects from initiation through completion, ensuring alignment with scope, timeline, and budget.
  • Maintain calendars, anticipate needs, and effectively manage the department leader's schedule.
  • Prepare reports and department metrics using Microsoft Excel, PowerPoint, Teams, and SharePoint.
  • Plan, organize, and execute both on-site and virtual meetings/events, including logistics, presentations, catering, and off-site activities.
  • Develop, design, and edit presentations for meetings and events.
  • Prepare and submit expense reports in compliance with company policy.
  • Coordinate complex travel arrangements, including flights, accommodations, and transportation.
  • Support the Public Affairs and Communication team's daily functions and social activities.
  • Order and maintain office supplies and ensure 5S standards for documentation and storage.
  • Support and manage department-related social media campaigns.
  • Identify opportunities for process improvement and assist in standardization efforts.
  • Represent the department through effective and discreet communication.
  • Partner and collaborate closely with local teams.
  • Uphold all safety, environmental, and company standards, exemplifying the Novo Nordisk Way.
  • Create and manage batch records.
  • Perform other duties as assigned.
Physical Requirements:
  • Ability to work in an open office environment with potential frequent distractions.
  • Ability to travel up to 10% as required.
Qualifications:
  • Bachelor's degree from an accredited university in a related field required.
  • Associate's degree with a minimum of two (2) years of administrative experience (preferably pharmaceutical) may be considered.
  • High school diploma or equivalent with a minimum of four (4) years of administrative experience (preferably pharmaceutical) may also be considered.
  • Minimum of four (4) years of administrative experience preferred, ideally in a pharmaceutical environment.
  • Strong organizational, project coordination, and stakeholder management skills.
  • Demonstrated experience supporting senior leaders or executives.
  • Excellent communication skills and discretion in handling confidential information.
  • Strong knowledge and experience with Microsoft Office applications (Word, Excel, PowerPoint, Outlook) required.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Experience in the pharmaceutical industry is a plus.
  • Exceptional problem-solving, planning, and attention to detail skills preferred.
