Job Description
PDS Defense, Inc. is seeking an Administrative Assistant I, in New Brighton, MN.
Job Description:
• Coordinate all administrative aspects of the recruitment process, including posting job advertisements, scheduling interviews, coordinating candidate communications, and preparing interview packages.
• Prepare employment offers, new hire paperwork, and onboarding documentation.
• Coordinate and facilitate new hire onboarding, including orientation schedules, welcome packages, system access requests, and workstation readiness.
• Partner with hiring managers to ensure onboarding activities are completed in a timely manner.
• Maintain recruitment records, applicant tracking systems, and onboarding checklists.
• Maintain accurate and confidential employee files, both electronic and paper.
• Process HR documentation including employment letters, employee status changes, and personnel updates.
• Assist with HR reporting, filing, document management, and record retention.
• Respond to routine employee inquiries and direct more complex issues to the HR Manager.
• Provide administrative support for HR projects and initiatives as required.
• Coordinate employee engagement activities, recognition programs, celebrations, and special events.
• Organize employee appreciation activities, holiday events, team meetings, and other culture-building initiatives.
• Coordinate catering and order lunches for meetings, training sessions, onboarding events, and employee appreciation activities.
• Assist with internal communications related to employee events and HR initiatives.
• Maintain employee recognition boards, welcome displays, and other engagement materials.
• Order and maintain office, kitchen, and onboarding supplies, ensuring inventory is well stocked.
• Coordinate orders for promotional items, welcome gifts, and employee recognition materials.
• Support day-to-day administrative functions to ensure the HR department operates efficiently.
• Other duties as assigned.
Required Qualifications:
• 1-3 years of administrative experience, preferably supporting Human Resources
• Employees must be legally authorized to work in the United States. Verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available for this position.
• This position is subject to the International Traffic in Arms Regulations (ITAR) which requires U.S. person status. ITAR defines U.S. person as an U.S. Citizen, U.S. Permanent Resident (i.e. 'Green Card Holder'), Political Asylee, or Refugee.
