Description

The Bureau of Education of Cultural Affairs, Office of Private Sector Exchange Designation (ECA/EC/D) and The Front Office (ECA/EC/FO) have a requirement for five full-time positions to provide staff support in a variety of areas to ECA/EC/D Office Director and ECA/EC/D Management Officer providing a variety of administrative duties and responsibilities essential to the operation of the office while performing substantive confidential assignments.

Job Duties:
  • Assists and guides potential and current EVP sponsors through the designation and re-designation process to ensure regulatory compliance.
  • Assists the EC Front Office Management Officer and other front office leadership in carrying out day to day administrative and operational functions.
  • Supports front office activities related to facility requests, space planning, maintenance coordination, office moves, inventory control, and supply requests.
  • Provides logistical and administrative support for front office meetings, office wide activities, conferences, and other events.
  • Reserves conference rooms and meeting spaces for office wide meetings, events, and other front office needs.
  • Organizes and distributes office wide announcements and other internal communications to support timely information sharing across ECA/EC.
  • Assists with travel logistics and related administrative arrangements in support of front office requirements.
  • Coordinates with the Senior Advisor, Management Officer, and Special Assistant to support greater uniformity, consistency, and standardization in front office processes, communications, and administrative practices.
  • Supports the implementation of office procedures and internal management practices designed to improve efficiency and consistency across the ECA/EC Front Office.
  • Assists in maintaining shared systems, trackers, and other administrative tools used to support front office operations.
  • Assists the Management Officer and Special Assistant with special projects and new initiatives that advance ECA/EC front office priorities.
  • Supports planning, coordination, and follow through for office management initiatives, including operational improvements and internal process enhancements.
  • Provides administrative support for projects related to BridgeUSA conferences, meetings, and office wide events.
  • Tracks and manages the inventory of BridgeUSA conference supplies and related materials to ensure readiness for office and program needs.
  • Assists with onboarding activities for contracting staff and other personnel, helping ensure new team members receive necessary information, materials, and office access support.
  • Provides general administrative support to front office personnel and contributes to a well organized and effective office environment.
  • Responds to routine inquiries and coordinates with appropriate staff to facilitate timely resolution of administrative matters.
  • Serves as floor warden for emergency evacuations and assists in supporting front office emergency preparedness and safety procedures.
  • Helps communicate relevant emergency information and procedures to office staff, as needed.

  • Skill in written and oral communications to explain procedures and policies to a variety of personnel and provide timely, authoritative, diplomatic, and tactful responses to selected inquiries regarding EVP-related issues.
  • Proven experience with Data Analysis and Reports, which includes but is not limited to reviewing data and generating an assessment report, perform a statistical analysis, support a management initiative, or policy guidance based on your analysis of that data.
  • Proven experience with the examination of Business Documents, specifically examining and evaluating business related documents with the objective of determining their sufficiency to a previously identified goal.
